Job Summary Responsible for independently managing the graduate program in Political Science under the general supervision of the Business Officer, with additional guidance provided by the Faculty Graduate Advisor. The role includes managing graduate admissions, advising students, coordinating program operations, and ensuring efficient information flow. Key Responsibilities 30% Graduate Advising – Advise approximately 45 graduate students (M.A. and Ph.D.) on academic, financial, and personal matters. Provide guidance on program requirements, course selection, thesis/dissertation filing, and transfer of credits. Communicate deadlines and regulations to students and faculty. 10% Reporting and Data Analysis – Monitor progress of all graduate students; maintain accurate student files; prepare complex progress and degree checks; analyze enrollment and performance data; produce reports for fellowship support and TA allocation decisions. 15% Recruitment and Graduate Admissions – Oversee production and distribution of informational materials; maintain program website; coordinate outreach and minority recruitment; manage applicant files, GPA calculations, and admissions correspondence; support campus visits and interviews. 15% Assistant to Faculty Graduate Advisor – Provide policy and procedural information; attend Graduate Committee meetings; draft correspondence; coordinate oral and written examinations; co‑present orientation programs; organize town hall meetings. 10% Graduate Student Employment Financial Management – Recommend and manage teaching assistant, reader, and research appointments; process employment paperwork; manage fee fellowships and related financial documents. 20% Graduate Affairs Program Support – Administrative support for the Graduate Program; maintain student listserv; prepare fellowship letters; review fees and billing; submit program requests to the Academic Senate; compile and distribute quarterly TA evaluations; update student information system.
