Position Summary The Eligibility & Intake Specialist is part of a team within the Workforce department that plays a lead role with determining participant eligibility for workforce services. The Eligibility & Intake Specialist is involved in determining the eligibility of potential participants, completing paperwork, and providing follow‑up services as necessary or required. A key component of this position involves the ability to utilize technology to accurately maintain client records and financial expenditures. The Eligibility & Intake Specialist is a grant funded position. Essential Functions Promote and recruit for the Workforce program through targeted outreach. Meet monthly target goal of 29+ successful enrollments. Understand and accurately present eligibility requirements to diverse audiences. Provide a positive introduction and present the Workforce program. Complete the eligibility process on individuals deemed suitable for Workforce (WIOA) and collect all necessary eligibility documents. Submit eligibility documentation for approval to manager or designee and enroll participants in the program. Enter application, notes and initial services into GPMS (DINAP) system and MicroIX. Track and report all inquiries and pre‑applications, referral sources, participant barriers and desired trainings/services. Maintain knowledge of the UAII registration and updating processes. Adhere to the enrollment plan to ensure accuracy within program enrollments. Prepare program‑related expenses and provide proper documentation for reporting. Assist in training staff with recruitment efforts and the eligibility/suitability requirements for the Workforce Development Program. Collaborate and communicate with the team and educational partners for accurate referrals to specific Workforce funded programs. Keep managers well informed regarding activities, pending issues and potential problems. Provide coverage or assistance to the receptionist area as needed. Work with Program Support Specialist on the applicant interest list and workforce orientation. Travel reliably between Los Angeles, Cerritos and Santa Ana offices, with occasional travel to Palmdale to meet with participants, as required. Work occasional evenings and weekends, including at off‑site locations as required. Perform other related duties as assigned. May perform all elements of this position or identified components, other duties as assigned or required for the purpose of the position or for organizational efficiency and effective client service. Requirements High School Diploma or GED. 1 year of experience in an office environment or data entry. A combination of experience, education and training may substitute for degree requirements on a year for year basis. Preferred Qualifications (Education & Experience) Bachelor’s degree. Two (2) years of experience in data entry or office setting. Experience working with the American Indian/Alaskan Native community. Experience working with nonprofit organizations, community groups and performance‑based government contracts. Knowledge, Skills, Abilities, and Competencies Knowledge of data management systems. Knowledge of Indian Self‑Determination and Education Assistance Act (PL93‑638). Knowledge of Title V of the Indian Health Care Improvement Act (PL 94‑437). Knowledge of the Affordable Care Act (PL 111‑148). Strong understanding and sensitivity to American Indian/Alaska Native (AI/AN) cultures and lifestyles and ability to work effectively with AI/AN population. Effective oral and written communication skills with sensitivity to lifestyles of targeted participants. Skills in operating personal computer using a variety of computer software (Microsoft Office, Adobe, Microsoft Teams, Zoom). Ability to maintain strict confidentiality of client and personnel information and comply with all applicable federal and state privacy laws, as well as UAII policy (HIPAA, HITECH, etc.). Ability to establish and maintain cooperative working relationships with management, coworkers and outside contacts. Ability to prioritize tasks and maintain strong detail orientation. Ability to type 40 words per minute. Ability to keep up with a fast‑paced environment. Ability to learn and apply program/agency operating policies and procedures. Ability to manage multiple priorities and tasks concurrently and meet deadlines. Ability to interact with various people on various, and at times, complex issues. Ability to work independently as well as with teams. Conditions of Hire Eligibility to work in the U.S. Fingerprint clearance and post‑offer drug test. Proof of hepatitis B vaccination and TB screening. UAII strongly encourages COVID‑19 and Influenza vaccinations; in the absence of the recommended vaccinations, employees are advised to wear a mask while in clinic areas.
