We are seeking a detail-oriented Tax Administrative Assistant to support a busy tax and accounting team. This role is responsible for providing administrative support throughout the tax preparation process, ensuring client documentation is organized, deadlines are met, and client communications are handled professionally. The ideal candidate is highly organized, customer-focused, and comfortable working in a fast-paced environment, especially during peak tax season.
Key Responsibilities
- Provide administrative support to the tax and accounting team throughout the tax preparation and filing process
- Manage and maintain client files, documentation, and records to ensure accuracy and organization
- Track client progress and workflow using the company’s workflow management system
- Conduct follow-up with clients via phone and email to collect documentation, answer questions, and ensure timely completion of tax-related tasks
- Communicate professionally with clients regarding account questions, tax season deadlines, and general tax preparation inquiries
- Assist with review and handling of tax-related documents, including 1099-R forms
- Process client payments and assist with sending statements and related account communications
- Coordinate outgoing mailings and shipments through UPS, FedEx, and other mailing services
- Support general office administration, including correspondence, scanning, filing, and document distribution
- Help ensure deadlines are met and client service remains a top priority during high-volume periods
Qualifications
- Prior administrative experience in a tax, accounting, financial services, or professional services environment preferred
- Understanding of financial documents and basic financial/account information
- Strong verbal and written communication skills with the ability to interact confidently and professionally with clients
- Excellent organizational skills and strong attention to detail
- Proven ability to follow through on tasks and manage multiple priorities effectively
- Willingness to proactively reach out to clients and team members as needed
- Comfortable working in a fast-paced, deadline-driven environment
- Proficiency in Microsoft Office Suite and experience with workflow management systems is a plus
