People Operations Coordinator (Human Resources)

Main Duties Support the People Operations department with all administrative and operational duties. Act as the first point of contact for team member questions, handling each with professionalism and care. Contribute to benefits administration, system and data management, continuous process improvement, and deliver solutions that elevate the team member experience. General Duties Perform and streamline administrative duties of a diversified nature. Receive and screen phone calls, take accurate messages, and handle situations. Open, screen and distribute incoming correspondence and attach backup information when possible. Coordinate the timely delivery of baby gifts, bereavement, and 'get well' gifts. Assist with initiating background checks. Schedule candidates qualified by People Operations for interviews with the General Manager and other Executive Committee members. Assist DOPO with all tools and supplies needed for successful execution of all People Operations related activities. Assist in the administration of the 1 Token Program. Enroll new employees in time‑clock enrollment. Create and maintain new hire and personnel files and enter them into People Operations Information Systems. Enter employee deductions into payroll system. Maintain confidentiality of proprietary information. Follow all company and safety and security policies and procedures; report accidents, injuries, and unsafe work conditions to manager. Inform People Operations management of issues related to employee relations. Respond to questions, requests, and concerns from employees and management regarding company and People Operations programs, policies and guidelines. On‑board new hires and update relevant documents in their electronic file. Process and handle benefits enrollment and eligible 401(k) participants. Distribute and track performance reviews for all employees on a monthly basis. Screen and route incoming resumes to the Hiring Manager. Maintain locker assignment listings and clean out lockers of terminated employees; return uniforms to the Laundry Department and personal belongings to Security. Assist Security Department in locker inspections. Assist Training Manager and Recruiting Manager in special projects as needed. Assist recruiting efforts in job fair preparation, including copying, reserving rooms, and procuring collateral (laptop, screen, PSAV department, making phone calls, preparation for sign‑in, etc.). Assist Recruiting Manager in job posting and onboarding coordination of J1 hires and all new hires. Coordinate new hires with Recruiting Manager and Training Manager to have advance notice of all attendees 2 weeks or more in advance. Post employee information, reminders, and recognition on Share regularly. Update the training matrix and record new hires and terminations. Enter volunteer hours and training hours in the payroll system. Perform other duties and responsibilities as assigned by the Director of People Operations or People Operations leadership. Qualifications & Skills Organized and proficient at multitasking. Demonstrates self-confidence, high energy, enthusiasm, and motivation. Ability to multitask, prioritize, and work in a fast‑paced environment. Ability to manage time well, meet deadlines, and be flexible. Quick learner and thinker – able to grasp new concepts. Innovative and change‑driven with a high sense of urgency. Strives to improve self, others, and overall practices and procedures. Strong, positive, and energized professional presence. Thorough understanding of compliance for all aspects of People Operations, including labor laws, posting requirements and documents. Ability to maintain composure in stressful situations. Proficient in verbal and written English communication. Computer literate: advanced knowledge of personal computers and various software. Professional and appropriate business appearance aligned with the 1 Hotel brand and culture. Willing to work varying schedules, including holidays, to accommodate business demands.
