Talent Acquisition Coordinator

We are seeking a highly organized and customer-focused Talent Acquisition Coordinator to support our global Talent Acquisition team. Reporting to the Manager, Talent Acquisition, this role is instrumental in delivering a best-in-class candidate and new hire experience while ensuring recruiting operations run efficiently. As the primary point of coordination throughout the hiring process, you'll partner closely with recruiters, hiring managers, HR, People Operations, and cross-functional teams to facilitate seamless interview scheduling, offer administration, onboarding, and recruiting operations. You'll help create a positive and engaging experience for every candidate while ensuring compliance, accuracy, and operational excellence. Location: Downtown Nashville, TN - Hybrid Key Responsibilities: Recruiting Operations Partner with Recruiters and Hiring Managers to support full-cycle recruiting operation. Manage recruiting activities within the Applicant Tracking System (ATS), ensuring data integrity, compliance, and accurate reporting. Process new requisition requests and support Talent Acquisition-related inquiries Maintain accurate recruiting documentation, candidate records, requisition data, and onboarding information. Monitor recruiting workflows to ensure service level agreements (SLAs) and hiring timelines are met. Support recruiting metrics by collecting, validating, and maintaining recruiting data for reporting and analysis. Serve as a primary point of contact for candidates throughout the interview and pre-employment process, delivering a responsive, professional, and high-touch experience. Coordinate complex interview scheduling across multiple time zones while ensuring a seamless experience for candidates, interviewers, and hiring teams. Manage offer administration, including offer letters, pre-employment documentation, and new hire communications. Coordinate background screenings, drug testing (where applicable), and pre-employment requirements while partnering with internal teams to ensure timely completion. Facilitate onboarding activities to ensure new hires have a positive transition into HireRight from offer acceptance through Day One. Proactively communicate updates and next steps to candidates and internal stakeholders throughout the recruiting process. Background Screening & Pre-Employment Process Management Manage the end-to-end pre-employment screening process for candidates, ensuring a seamless, timely, and compliant experience from offer acceptance through onboarding. Initiate and monitor background checks, drug screenings (where applicable), employment eligibility verification, and other pre-employment requirements. Partner closely with recruiters, candidates, hiring managers, and internal operations teams to proactively resolve background screening issues, adjudication questions, and documentation requests. Serve as a trusted resource for candidates by providing clear communication, setting expectations, and guiding them through the background screening process. Monitor screening progress and proactively identify delays or risks that could impact start dates, escalating issues as appropriate. Ensure all pre-employment activities are completed in accordance with company policy, regulatory requirements, and service level agreements. Coordinate with HR, People Operations, and hiring managers to facilitate timely clearance for hire and a smooth transition into onboarding. Maintain accurate records of screening activity and ensure all recruiting systems reflect current candidate status. Identify opportunities to improve pre-employment workflows, enhance the candidate experience, and increase operational efficiency throughout the hiring process. Collaboration & Operational Excellence Partner closely with HR, Payroll, Benefits, Legal, Finance, and IT to ensure a smooth hiring and onboarding process. Coordinate recruiting meetings, interview panels, hiring events, and Talent Acquisition team meetings. Assist with vendor coordination, invoice processing, agency agreements, and recruiting-related contracts. Identify opportunities to improve recruiting processes, candidate communications, and operational efficiencies. Support Talent Acquisition initiatives, special projects, and process improvement efforts that enhance the overall recruiting experience. Qualifications: Required Bachelor's degree or equivalent combination of education and experience. 1+ years of experience supporting Talent Acquisition, Recruiting Operations, HR, or Human Resources. Experience coordinating interviews and supporting multiple recruiters or hiring managers in a fast-paced environment. Strong organizational, problem solving, and project management skills with exceptional attention to detail. Excellent written and verbal communication skills – ability to engage effectively with internal and external stakeholders. Demonstrated ability to manage multiple priorities while maintaining accuracy and confidentiality. Proficiency with Microsoft Office (Outlook, Word, Excel, PowerPoint, Teams). Preferred Experience working with an Applicant Tracking System (iCIMS preferred). Experience supporting recruiting across multiple locations or countries. Experience coordinating background checks, onboarding, and pre-employment activities. Experience supporting recruiting metrics and reporting.
