Associate Director

Overview The Director provides strategic leadership and operational oversight for the University’s Student Employment Program, including institutional student employment and Federal Work-Study (FWS) programs. This role is responsible for developing, administering, and evaluating student employment initiatives that support the University’s mission of student success, experiential learning, and workforce development. The Director oversees all aspects of student employment, including policy development, recruitment, compliance with federal and institutional regulations, payroll coordination, budget management, and the implementation of systems that support student hiring and employment processes. The Director collaborates with campus departments, Human Resources, Financial Aid, Payroll, and external community partners to ensure student employment opportunities are meaningful, equitable, and compliant. Responsibilities Student Employment Program Administration Direct and manage the University’s student employment program, including on-campus employment and Federal Work-Study opportunities. Develop and implement policies, procedures, and best practices that support efficient and equitable student hiring. Partner with campus departments to identify and develop meaningful employment opportunities that enhance students’ academic and professional development. Foster relationships with community organizations and employers to expand off-campus employment opportunities when appropriate. Student Recruitment and Job Placement Coordinate student employment recruitment efforts and assist students in identifying employment opportunities that align with their educational and career goals. Ensure workforce resources to support onboarding and offboarding peaks and management. Provide guidance to hiring managers and supervisors throughout the student hiring process. Ensure fair and consistent hiring practices across all campus departments. Compliance and Regulatory Oversight Ensure compliance with all applicable federal, state, and institutional regulations governing student employment and Federal Work-Study programs. Monitor student work hours, wage rates, earnings limits, and eligibility requirements. Ensure training and timely communications with management to prevent negative impact to department budgets. Collaborate with Financial Aid and Human Resources to maintain compliance with applicable employment laws and financial aid regulations. Maintain accurate documentation and prepare reports for internal and external audits. Training and Professional Development Develop and facilitate training programs for student employees and campus supervisors for meaningful impact. Promote workplace professionalism, customer service, leadership, communication, and career readiness skills among student employees. Provide resources and support that enhance student’s employment and post-graduation career success. Partner and support the P3 Program with developing goals and mentoring students. Systems Administration Oversee the student employment system, including hiring workflows, electronic personnel records, timekeeping, and payroll processing. Ensure the accuracy and integrity of employment data and reporting. Identify opportunities to improve operational efficiency through technology and process improvements. Budget and Financial Management Develop and manage the Student Employment Office budget. Monitor institutional and Federal Work-Study funding allocations. Track expenditures and prepare budget forecasts and financial reports. Ensure responsible stewardship of university resources. Leadership and Collaboration Supervise Student Employment Office staff and Student Assistants. Establish goals, evaluate performance, and promote a collaborative and customer-focused work environment. Partner with Human Resources, Financial Aid, Payroll, Information Technology, Academic Affairs, and other campus stakeholders to support the institutional environment. Required Qualifications Education Bachelor’s degree from an accredited institution required in Higher Education Administration, Business Administration, Human Resources, Public Administration, or a related field (preferred). Experience 6-10+ years of progressively responsible professional experience in higher education, human resources, financial aid, student employment, or a related administrative area. 5+ years of supervisory and management experience. Experience administering student employment or Federal Work-Study programs is preferred. Knowledge, Skills, and Abilities Strong leadership, organizational, and project management skills. Knowledge of Federal Work-Study regulations and student employment best practices. Understanding of employment laws, payroll processes, and compliance requirements. Experience working with HRIS, applicant tracking systems, payroll systems, and databases. Excellent analytical, problem-solving, and decision-making skills. Strong interpersonal, communication, and presentation skills. Ability to build collaborative relationships across departments. Demonstrated commitment to students’ success and customer service.
