Lease Administration Analyst (Commercial Real Estate)

Location: San Jose, CA 95113 (Hybrid - Onsite Tuesday, Wednesday & Thursday)
Schedule: Monday-Friday | 9:00 AM - 6:00 PM
Duration: Contract (Potential Extension & Full-Time Opportunity)
Job Summary
We are seeking an experienced Lease Administration Analyst to support a global commercial real estate portfolio. The ideal candidate will have a strong background in lease administration, commercial real estate, asset management support, accounts payable, purchase orders, invoice reconciliation, and contract review. This role requires excellent analytical skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.
Key Responsibilities
Lease & Portfolio Administration
Maintain the integrity of lease and portfolio data for a large, complex commercial real estate portfolio.
Conduct lease reconciliations to ensure operating expenses comply with lease agreements.
Review lease documentation, contractual terms, and financial obligations.
Support asset managers with lease administration activities and portfolio reporting.
Financial Administration
Manage the complete Purchase Order (PO) lifecycle, including creation, tracking, monitoring, and fund allocation.
Review and validate invoices against lease agreements and contractual terms.
Serve as the primary contact for Accounts Payable (AP) inquiries related to leased assets.
Investigate and resolve billing discrepancies or escalate issues when necessary.
Monitor vendor billings and ensure compliance with agreed financial terms.
Compliance & Contract Support
Collect, maintain, and track required vendor certifications and compliance documentation.
Support contract reviews to ensure vendors meet operational and regulatory requirements.
Assist with periodic reviews of vendor agreements and lease-related documentation.
Reporting & Analytics
Generate reports for lease asset management and leadership teams.
Maintain detailed spreadsheets and reporting dashboards.
Analyze lease, invoice, and portfolio data to support business decisions.
Provide ad hoc reporting and operational support as needed.
Required Qualifications
Minimum 5 years of experience in:
Lease Administration
Commercial Real Estate
Lease Asset Management
Property Portfolio Administration
Experience reviewing:
Lease agreements
Vendor contracts
Rent invoices
Operating expenses
Strong experience with:
Purchase Orders (PO)
Accounts Payable (AP)
Invoice reconciliation
Contract administration
Strong analytical and organizational skills.
Ability to work independently and manage multiple priorities.
Excellent written and verbal communication skills.
Preferred Qualifications
Commercial Real Estate portfolio experience.
Experience supporting Data Center portfolios.
Bachelor's degree preferred.
Self-motivated with strong problem-solving abilities.
