Position Title: Office Administrator

Position Summary

We are seeking a reliable, organized, and detail-oriented Office Administrator to join our growing construction company. This full-time, in-office position plays a key role in supporting daily operations, accounting functions, project administration, and customer/vendor communication. The ideal candidate is comfortable multitasking in a fast-paced environment and enjoys being part of a collaborative small-business team.

Key Responsibilities

  • Answer and direct incoming phone calls and emails
  • Greet customers, vendors, and visitors in a professional and friendly manner
  • Organize and maintain contract documents, project files, and office records
  • Process Accounts Payable (AP) and Accounts Receivable (AR)
  • Create, track, and manage purchase orders and vendor invoices
  • Assist with customer and vendor onboarding documentation
  • Support sales staff with letters, proposals, scheduling, and administrative tasks
  • Coordinate with vendors, subcontractors, customers, and field personnel
  • Maintain office inventory levels and order office supplies as needed
  • Assist with employee paperwork, time tracking, and administrative support using BusyBusy
  • Update and maintain CRM systems and customer information
  • Prepare reports, spreadsheets, and other business documents using Google Workspace
  • Help ensure accurate filing and recordkeeping for projects and accounting
  • Assist ownership and management with general office and administrative duties
  • Support day-to-day office operations to help projects run efficiently

Qualifications & Skills

  • Previous office administration experience required
  • Construction industry experience preferred
  • Experience with QuickBooks and basic accounting/bookkeeping procedures
  • Knowledge of Accounts Payable and Accounts Receivable processes
  • Proficiency with Google Workspace (Docs, Sheets, Gmail, Drive)
  • Experience with CRM systems and office management software
  • Familiarity with BusyBusy or similar workforce/time tracking systems is a plus
  • Strong customer service and communication skills
  • Excellent organizational and multitasking abilities
  • Strong attention to detail and problem-solving skills
  • Ability to work independently and manage priorities in a busy office environment
  • Professional, dependable, and team-oriented attitude
