Responsible for managing the full intake process for outpatient substance use disorder services for youth, adults, and prenatal populations across multiple sites. This role ensures timely admissions, appropriate level-of-care placement, and compliance with county, state, and program requirements. The Intake Specialist supports client engagement, documentation accuracy, billing compliance, and coordination with internal teams and external referral sources.

Responsibilities/ Job Duties:

• Oversee and manage the full intake process for outpatient SUD services across youth, adult, and prenatal programs
• Screen incoming calls, schedule intake appointments, manage waitlists, and follow up on no-shows or missed appointments
• Conduct client and family interviews to determine eligibility and appropriate level of care
• Develop and complete intake documentation, including biopsychosocial assessments, diagnostic summaries, and initial treatment plans
• Ensure all intake packets, forms, and documentation meet federal, state, and county requirements
• Coordinate with referral sources (courts, probation, schools, social services, medical providers, etc.) to obtain required documentation
• Make referral decisions and coordinate transfers when clients do not meet outpatient level of care
• Provide client orientation, program expectations, and treatment process education
• Collaborate with QA and administrative staff to ensure documentation accuracy, compliance, and billing completion
• Enter and maintain accurate client records in required systems (including SAGE)
• Support billing compliance by ensuring all services, notes, and case management activities are properly documented
• Facilitate or support individual sessions, group sessions, case management, and crisis intervention as needed
• Assist with treatment planning, progress notes, discharge summaries, and aftercare planning
• Participate in outreach and recruitment efforts to support new client enrollment goals
• Assist with chart audits, corrections, and compliance reviews as needed
• Support client engagement efforts, including follow-ups and outreach for retention and attendance
• Assist with client transportation when necessary
• Perform additional duties as assigned by program leadership or QA staff

Minimum Education and Experience Qualification Requirements:

• Registered or certified Substance Use Disorder Counselor (CCAPP, CAADE, or CADTP required or eligible)
• Completion of internship and addiction studies certificate required
• Spanish bilingual required
• Strong understanding of the 12 Core Functions and recovery principles
• Experience in substance use disorder counseling, case management, and group facilitation
• Knowledge of Drug Medi-Cal and ASAM criteria preferred
• Experience with SAGE and electronic health records required or willingness to train

Schedule/ Shift: Day Shift: Monday-Friday | Flexible shifts (8:00 AM-5:00 PM or 10:00 AM-7:00 PM)
