Commercial Operations Coordinator

You'll serve as an important connection between tenants, property managers, engineers, vendors, and operational leadership—helping ensure requests are handled efficiently and with the level of service our tenants expect. What We Offer Competitive pay and a comprehensive benefits package Medical, dental, vision, and additional voluntary benefits Generous paid time off and company holidays, including your birthday off 401(k) with company match Career growth and development opportunities Ongoing training, tools, and support to help you succeed A collaborative, team-oriented culture where your contributions make a difference What You'll Do Serve as a primary point of contact for maintenance and service requests across our Commercial & Healthcare portfolio Provide professional, responsive customer service to tenants and internal teams Gather information from tenants to accurately understand maintenance needs, priorities, and urgency Create, document, dispatch, and track work orders from initial request through completion Coordinate with field engineers, maintenance technicians, vendors, and property management teams to keep service requests moving Monitor open and aging work orders, following up proactively to ensure timely resolution Keep tenants informed of service status and provide updates when additional work or follow-up is needed Review completed work orders for accurate documentation and closeout Assist with tracking response times, completion rates, outstanding work orders, and other service-related activity Help identify recurring maintenance issues and service trends Support Capital Asset Request tracking, including estimates, vendor bids, project documentation, invoicing, and completed projects Maintain accurate operational records within work order and accounting systems Provide day-to-day administrative and operational support to the property management and engineering teams Assist the Operations Manager and Managing Director with team communications, meetings, reporting, and other administrative needs Look for opportunities to improve processes, streamline workflows, and strengthen service across the portfolio What We're Looking For Strong organizational skills with the ability to manage multiple requests and priorities at once Excellent written and verbal communication skills A professional, customer-focused approach when working with tenants, vendors, and team members Strong attention to detail and follow-through Ability to prioritize urgent needs while keeping routine tasks moving Comfortable working with multiple systems, tracking information, and maintaining accurate records A proactive mindset and willingness to take ownership of tasks through completion Ability to work collaboratively with property management, engineering, vendors, and leadership Previous experience in property management, facilities, maintenance coordination, operations, customer service, or administrative support is a plus Experience with work order management or property management software is a plus Bachelor's Degree required The Right Fit You'll be successful in this role if you're someone who enjoys keeping people, priorities, and information organized.
