Office Manager

The Dougherty County School System is seeking an office manager to join our roster of experienced, motivated, and effective professionals. The Office Manager serves as the operational hub of the school, ensuring the efficient and professional functioning of the front office and administrative systems. This position provides high-level administrative and operational support to the principal, staff, students, families, and district departments. The Office Manager coordinates daily office operations, manages communication and records, supports financial processes, and maintains a welcoming and organized environment that reflects the school's commitment to service and excellence. This role requires strong organizational skills, discretion with confidential information, and the ability to manage multiple priorities in a fast-paced school environment.

Minimum qualifications include a diploma or certificate in Business Office Technology, Business Administration, or a related field; an associate's degree is preferred. Two years of clerical or administrative experience, preferably in a school or public service setting, is required. Experience working with sensitive student and personnel information while maintaining confidentiality and professionalism is necessary. Proficiency in Microsoft Office Suite, Google Workspace, and office management systems is required. Strong customer service and interpersonal skills when working with students, families, staff, and community members are essential.

Knowledge, skills, and abilities include excellent verbal and written communication skills with the ability to interact professionally with diverse stakeholders. Strong organizational, multitasking, and time management skills in a high-demand environment are required. Ability to maintain accurate records and manage confidential information in accordance with district policies and federal privacy regulations (FERPA) is necessary. Proficiency in office technology, student information systems, digital communication tools, and data entry systems is required. Ability to prioritize tasks, meet deadlines, and manage competing responsibilities effectively is essential. Strong customer service mindset and ability to create a welcoming and supportive environment for students, families, and visitors are required. Ability to work collaboratively with administrators, teachers, and district personnel while also exercising independent judgment when needed is necessary. Demonstrated problem-solving skills and adaptability in a dynamic school setting are required.

Performance responsibilities include managing day-to-day operations of the front office, greeting and assisting students, parents, staff, and visitors, maintaining a welcoming, organized, and professional office environment, answering phones, routing calls, taking messages, and responding to inquiries, maintaining office supplies and equipment, placing orders as needed. Communication and coordination involve serving as liaison between the principal, staff, parents, and district personnel, drafting and distributing school communications, notices, and newsletters, scheduling meetings, appointments, and school events, maintaining school calendar and coordinating logistics for events and meetings. Records and reporting include maintaining accurate student records, including attendance, enrollment, health, and emergency information, preparing reports and data for school and district use, assisting with registration, withdrawals, and student transfers, ensuring compliance with confidentiality and data privacy policies. Financial and budget support includes assisting with processing purchase orders, invoices, and reimbursements, maintaining petty cash and school activity funds under district guidelines, tracking and reconciling budget expenditures as directed by the principal. Support to principal and staff includes coordinating substitute coverage and maintaining staff attendance records, providing administrative support to the principal and other staff members, performing other such duties needed or assigned by the supervisor.

Work/physical requirements include ability to sit, stand, and walk for extended periods in an office or operations setting; capability to lift and carry materials up to 25 pounds; sufficient vision and hearing to communicate effectively, read documents, and work on a computer; ability to move between administrative offices and transportation facilities; reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.
