Patient Services Representative IWe are looking for a friendly, detail-oriented Patient Services Representative I to join our Specialty Care Group in the Urology Clinic. This role involves clerical and administrative tasks, patient registration, scheduling, and facilitating effective communication among healthcare providers, staff, patients, and external offices. This position requires strict adherence to confidentiality and compliance with HIPAA guidelines. The ideal candidate will demonstrate professionalism, flexibility, and a commitment to exceptional customer service, aligning with our organizational values and goals.Key Job Duties and ResponsibilitiesGreet patients and visitors with professionalism, embodying The Gritman Way values.Monitor call queues and/or lobby wait times and address issues promptly.Maintain strict confidentiality of patient information.Enter accurate and detailed notes in patient cases and phone logs.Prepare daily deposit reconciliation paperwork.Ensure accurate data input of insurance and patient information.Schedule patient appointments appropriately.Obtain and verify patient information for new and existing accounts.Keep the reception area clean and organized.Maintain a balanced cash drawer and collect copays/outstanding balances.Consistently demonstrate AIDET principles.Register patients for the patient portal.Perform opening and closing tasks for the office.Prepare and organize paperwork for patient appointments.Respond to basic face-to-face medical record requests.Review and address patient concerns or complaints.Job RequirementsRequired Education and licenses: none.Required Work Experience:Experience working with computers.Required Knowledge, Skills, and Abilities:Knowledge of basic office functions such as message-taking, cash drawer balancing, and data entry.Exceptional customer service, written, and verbal communication skills.Positive attitude and commitment to organizational values.Ability to work collaboratively and exceed expectations for patients and colleagues.Strong problem-solving and critical thinking skills.Proficiency with computer systems and multi-line phone systems.Flexibility to adapt to changing workflows and situations.Preferred Qualifications:Prior education or experience in a medical office is preferred.Functional DemandsPopulation(s) Served: This role serves diverse populations, including neonatal, pediatric, adolescent, adult, and geriatric patients, as well as individuals of varying genders, races, ethnicities, abilities, and socioeconomic backgrounds.Physical Demands:Fast-paced office environment requiring multitasking and prioritization.Light lifting (<35 lbs.), bending, kneeling, twisting, and reaching.Prolonged periods of sitting, standing, and typing.Visual and auditory acuity required for effective communication and task completion.Environmental Conditions:Primarily indoors with limited exposure to outdoor elements (e.g., snow/ice when entering/exiting).Potential exposure to germs and viruses due to public interactions.Organizational ExpectationsUphold a positive and professional representation of the organization.Promote a culture of safety and quality improvement.Maintain compliance with organizational policies and confidentiality standards.Demonstrate excellent customer service in alignment with The Gritman Way values.Equal Opportunity Employer This employer is required to notify all applicants of their rights pursuant to federal employment laws.
