Job Details Job Title: Project Manager Duration: Approximately 7+ months Location: Sunnyvale, CA Interview Type: Web/ In-Person Scope of Project The City of Sunnyvale conducts an annual Desktop and Laptop Refresh Program to ensure all employees have secure, reliable, and up-to-date computing equipment. The program replaces 200‑300 end‑of‑life devices, deploys standardized hardware configurations, and maintains compliance with security and performance requirements. It involves procurement, configuration, deployment, and retirement of devices across multiple departments and locations such as City Hall, Water Pollution Control Plant, Library, and Fire Station. The Project Manager will coordinate with IT Operations, City Departments, Procurement, and IT Security to minimize disruption and keep the project on schedule. Project Manager Coordination Requirements validation and procurement oversight Standard image/build and configuration coordination Deployment scheduling and execution oversight (including user communications) Asset management updates and documentation Secure data migration support coordination Device retirement: data sanitization, disposition, recycling, and compliance records Stabilization/post‑deployment support coordination and project closeout Project Initiation & Planning Tasks Confirm project goals, success criteria, constraints, and assumptions. Identify stakeholders (IT, InfoSec, Procurement, business units, Help Desk). Establish governance: steering committee cadence, decision‑making process, escalation path. Develop and maintain: Project Charter, Integrated Project Plan / Schedule, Resource plan, Budget tracking approach, RAID log, Communications plan, Change control process. Conduct kickoff meetings and publish meeting notes and action items. Deliverables Project Charter (draft + final) Master Project Schedule (baseline + maintained updates) Communications Plan RAID Log Governance calendar (status meetings, steering meetings) Requirements & Standardization Oversight Tasks Validate device profiles/specifications by persona (e.g., standard user, power user, developer, executive, rugged/mobile). Confirm operating system baseline, encryption requirements, endpoint protection, patching approach, and configuration standards. Confirm peripheral needs, shipping logistics, and spare pool strategy. Confirm deployment model(s): on‑site swap, user self‑service, remote shipment, or hybrid. Confirm data migration approach (e.g., OneDrive/known folder move, USMT, third‑party, manual). Confirm identity/device management approach and enrollment workflows. Confirm application packaging/allow list, licensing constraints, and day‑1 readiness expectations. Oversee ordering milestones and delivery tracking. Coordinate warranty registration processes and capture of serial numbers/asset identifiers.
