Workplace Coordinator

Manhattan | $60,000–$90,000 Depending on Experience | Full-Time We’re looking for a proactive Workplace & Facilities Coordinator to join a busy, professional office environment in Manhattan. This is a varied, hands-on position combining front-of-house responsibilities with broader workplace and facilities coordination. You’ll be based at reception, putting you at the heart of the office and ideally placed to make sure everything behind the scenes is working as it should. From welcoming visitors and supporting the day-to-day office environment to coordinating contractors, monitoring suppliers and keeping on top of facilities requirements, this is a role for someone who notices the details and takes ownership. The Role Provide a professional and welcoming front-of-house experience for employees and visitors Help ensure the office is consistently well presented, organised and running smoothly Coordinate day-to-day facilities requirements, maintenance and repairs Liaise with building management, suppliers and external contractors Arrange and oversee contractor visits, following actions through to completion Monitor supplier service and flag or resolve issues where standards aren’t being met Support workplace health and safety requirements, checks and documentation Manage office supplies, consumables and stock levels Regularly check the workplace and proactively identify anything requiring attention Support meeting rooms and general office requirements Maintain accurate facilities and workplace records Assist with wider workplace projects and ad hoc requirements About You You may already be working as a Workplace Coordinator, Facilities Coordinator, Office Coordinator or in a front-of-house position with broader responsibility for the office. You’ll be someone who is naturally observant and proactive. You notice when something needs attention and, rather than waiting for someone else to pick it up, you take responsibility for getting it resolved. You’ll bring Experience working within a busy professional office environment Strong organisation and attention to detail A practical, hands-on approach Confidence dealing with suppliers, contractors and building management An understanding of workplace health and safety Strong communication and front-of-house skills The ability to manage several priorities at once A genuine sense of ownership for the environment around you The Package $60,000–$90,000 depending on experience The range reflects the level of experience brought to the position, and we’re open to considering candidates at different stages of their workplace and facilities career.
