Assistant Facilities ManagerThe Assistant Facilities Manager supports the Facilities Manager in overseeing the day-to-day operations, maintenance, and safety of the company's facilities. This role helps ensure a clean, functional, compliant, and well-maintained environment for employees, visitors, and contractors. Responsibilities include coordinating maintenance activities, managing vendor relationships, assisting with facility projects, and monitoring building systems and site conditions.Primary Duties and Responsibilities:Assist with facilities operations to ensure building systems and common areas are maintained in a safe and efficient condition.Document all processes as they relate to facilities - contacts, history, proposed maintenance schedulesCoordinate maintenance requests (e.g., HVAC, electrical, plumbing, carpentry, general repairs) and track work orders to completion.Schedule and manage vendors/contractors, ensuring work is completed on time, to scope, and according to safety requirements.Support preventive maintenance programs by monitoring schedules, documentation, and asset/service records.Conduct routine inspections of the facility to identify issues, safety hazards, and areas for improvement.Assist with compliance and safety requirements, including inspections, logs, and coordination of corrective actions (as applicable).Monitor building systems (e.g., HVAC controls, lighting, fire/life safety systems, security systems, alarms) and escalate issues to the Facilities Manager when needed.Help manage inventory and purchasing for facilities supplies and equipment, including receiving/stocking as required.Support facility projects (small builds, renovations, space planning coordination, move coordination) from planning through closeout.Maintain accurate records of maintenance activities, vendor work, warranties, manuals, inspections, and incident reports.Respond to urgent facility issues as part of an on-call or escalation process (if applicable).Support workplace readiness, ensuring sites are prepared for events, audits, and employee needs.Knowledge, Ability, Skills:Experience supporting larger facilities, multi-site environments, or commercial/industrial properties.Familiarity with compliance documentation and vendor safety processes.Knowledge of building systems (HVAC, electrical, plumbing, life safety/security) and maintenance best practices.Experience with work order/ticketing systems (e.g., CMMS) preferred.Familiarity with health and safety standards and contractor management practices.Strong organizational skills and the ability to prioritize multiple tasks.Proficient computer skills (email, spreadsheets, documentation).Strong problem-solving and root-cause troubleshooting mindsetAbility to read and interpret service requests, basic schematics/specs, and vendor documentationComfortable coordinating with multiple stakeholders (employees, leadership, contractors)Accountability for safety, quality, and timeliness of workPhysical Demands:Standing, walking, and ability to sit for extended periods of timeReaching, carrying, pushing, bending and handling items weighing up to 50 poundsHearing and speaking to communicate with students, parents, community members other workers and supervisorsOther:Be familiar with and have working knowledge of schoolsSubmit to and be able to pass a background checkPhysical may be requiredPerform such other duties as may be assigned from time to time by the superintendent, building principals or their designeeStarting Salary $40,000.00 - $55,000.00 depending on experience.
