Boarding Agent (Maritime Operations)

We are seeking a Boarding Agent to join our client's team full-time in Philadelphia, PA. As a Boarding Agent, you will be responsible for coordinating vessel activities, managing communication between stakeholders, and ensuring all documentation and regulatory requirements are completed efficiently throughout each port call.

Schedule: Varies based on operations; on-call rotations may include evenings, weekends (current rotation is one weekend per month). Full-time, direct hire (not a temporary position)

Key Responsibilities:

• Coordinate vessel arrivals, berthing, and departures with port authorities and relevant agencies
• Communicate vessel movement updates to internal teams, clients, and external stakeholders
• Arrange and monitor required clearances including customs, immigration, and port control
• Prepare and provide cost estimates related to port services
• Maintain accurate and timely operational data within internal systems
• Coordinate vessel and crew requirements with appropriate parties
• Ensure timely processing and delivery of cargo and vessel documentation
• Support invoicing and billing processes by ensuring all activities are properly recorded
• Collaborate with internal teams to support daily operations and workload distribution

Qualifications:

• Experience in maritime, logistics, or operations coordination preferred
• Familiarity with port operations or regulatory processes is a plus
• Strong communication skills, both written and verbal
• Ability to manage multiple tasks in a fast-paced environment
• Highly organized with strong attention to detail
• Proactive, dependable, and able to work independently and as part of a team
• Proficient in Microsoft Office (Word, Excel) and general computer systems
