We are committed to delivering high-quality solutions to our clients and fostering a collaborative and innovative work environment.The Dispatch & Recruiting Coordinator is responsible for supporting field operations by coordinating manpower across active projects while also driving recruiting efforts to meet workforce demands. This role is critical in a fast-paced, high growth environment and requires the ability to balance real time dispatching with proactive recruiting and onboarding.ResponsibilitiesEssential FunctionsReasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.Dispatch/Operations CoordinationCoordinate daily dispatch of field personnel across multiple projects and locationsPartner with Operations to forecast manpower needsTrack workforce availability and proactively identify staffing gapsEnsure personnel are mobilized on time and meet all client and project requirementsMaintain accurate records within dispatch systems and databasesCommunicate closely with field leadership to support execution and resolve staffing issues in real timeRecruiting & Workforce DevelopmentActively source, screen, and coordinate hiring of field personnel to meet project demandsDevelop and maintain pipelines of qualified candidates (active and passive)Post job openings across appropriate platforms and industry networksBuild relationships with candidates to support ongoing workforce needsConduct initial candidate outreach, screening, and coordination with hiring managersPartner with Recruiting/Hiring team to improve speed and quality of hiresOnboarding & ComplianceCoordinate onboarding process to ensure new hires are project-readyProcess new hire paperwork and maintain accurate employee recordsManage compliance requirements including DISA and client-specific programsSchedule and track drug/alcohol testing and ensure workforce eligibilityEnsure all personnel meet site access and safety requirements prior to dispatchAdministrative & Process SupportMaintain organized documentation and reporting related to dispatch and recruiting activitiesSupport continuous improvement of dispatching and recruiting workflowsSupervisory ResponsibilityThis position will have no supervisory responsibilities.Other DutiesDuties, responsibilities, and activities may change at any time with or without notice that are job-related and consistent with business necessity.Work EnvironmentThis job operates in a professional office environment. This role routinely uses standard office equipment. May be required to operate in a petrochemical/ refinery environment with exposure to cold working conditions during winter months and hot working conditions during the summer months; exposure to noise, workers must wear protecting hearing equipment or frequently shout in order to be heard above ambient noise level. In an emergency situation, exposure to hazardous chemicals may occur and the use of a respirator is required. May be required to be fit tested for the various respirators used as well as the ability to successfully pass a pulmonary function test (PFT).Physical DemandsThe physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.While performing the duties of the job, the employee is occasionally required to stand; walk; sit; use hands to finger, handle or feel objects, tools or controls; reach with hands and arms; climb stairs; talk or hear.
