Company/Position Overview: Our client, a nonprofit organization with a mission to significantly improve the lives of people with a genetic disorder, is seeking a temporary, strong potential foot-in-the-door Auction & Donor Specialist. This role reports to the Vice President of Community Development and focuses on Auction-related work in support of our client's two signature fundraising events. The Specialist is responsible for impactful, measurable work in three primary areas: (1) Silent Auction Management & Growth; (2) Live Auction Work; (3) Development Support.

Schedule:

• Monday - Friday from 9:00 AM - 6:00 PM (1-hour unpaid meal break) – ability to work remotely on Fridays
• Assignment Length: 3 months with a strong potential foot-in-the-door

Job Duties:

Silent Auction Management & Growth

• Procurement & Revenue – Meet or exceed annual silent auction acquisition and revenue goals by renewing strong past donors, soliciting and securing new donors, and improving the quality and marketability of auction offerings.
• Analytics & Reporting – Manage annualized and year-on-year reporting including solicitations, item donors, item purchasers, prospects, donor and purchaser pipelines.
• Operations & Marketing – Manage the silent auction platform and ensure item descriptions, photographs, fair-market values, restrictions, donor recognition, bidding information, purchaser information, and reports are accurate and timely. Manage onsite auction display and night-of-event execution, including volunteers.
• Stewardship & Fulfillment – Ensure 100% timely fulfillment or disposition of auction items after the event and maintain high-touch communication with donors and purchasers.
• Volunteer Recruitment & Management – Recruit, manage, and retain a large and engaged network of existing and new volunteers, including the volunteer Silent Auction Committee. Ensure volunteers and related staff receive timely communications, clear job descriptions, CADs, and other materials, resources, and tools needed to succeed.

Live Auction Work

• Live Auctioneer – With direction from the Vice President, Community Development, research, secure, coordinate, and manage the live auctioneer and related agreement, schedule, briefing, rehearsal, package order, opening bids, and event-night needs.
• Analytics & Reporting – Manage annualized and year-on-year reporting including solicitations, item donors, item purchasers, prospects, donor and purchaser pipelines.
• Track and analyze package category, donor, fair-market value, winning bid, opening bid, purchaser, underbidder information when available, auction order, repeatability, and other relevant performance measures.
• Marketing – Coordinate live auction content for event PowerPoint presentations, programs, scripts, signage, and other materials; ensure package descriptions, donor recognition, values, restrictions, and imagery are accurate and compelling. Manage related social media, eblasts and website content.
• Stewardship & Fulfillment – Manage communication and fulfillment for live auction purchasers from event night through final delivery, including agreements, certificates, donor introductions, scheduling, travel or experience details, and other follow-up required to close each package successfully.

Development Suppor t

• Manage auction-related data and finance input, files and reporting
• Manage relevant SOPs
• Assist with relevant budgeting, invoicing, A/R, reconciliations, and receipt letters
• Assist with donor research, stewardship and development
• Assist with development-specific marketing and communications

Qualifications:

• Bachelor's degree required
• 3+ years' events experience, to include work with auctions and volunteers
• Proficient in MS Office Suite and donor database software (Raiser's Edge, Salesforce, etc.)
• Type 50+ words per minute
• Strong interpersonal skills, including patience and understanding for dealing with diverse groups of coworkers, donors, volunteers, and families
• Strong writing, editing, and presentation skills
• Ability to use good judgment and ethical behavior in handling confidential information with sensitivity and discretion
• Strong interest in nonprofit/social justice work
• High level of attention to detail and the ability to multitask
• Ability to keep calm under high-pressure and deadline-oriented environments
• Strong team player
• Ability to travel for events and to extend work hours to meet deadlines and attend occasional organization-related events which may occur in the evenings or weekends (occasional travel to Washington, D.C.)
