Civic Media has built a state-wide radio and digital media network in the Midwest with the goal of championing the practice of democracy by empowering honest and informative local voices. The Office Manager organizes and coordinates administration duties and office procedures. Handling administrative tasks such as radio traffic, billing, and record-keeping. This role will create and maintain a pleasant work environment, ensuring high levels of organizational effectiveness, communication, and safety.

Responsibilities

• Schedule Northwoods Big Deals meetings with team members and coordinate, maintain and support major sales initiatives, including managing the Northwoods Big Deals platform and online store
• Manage daily radio logs for 5 Civic Media radio stations
• Organize and assist with office operations and procedures
• Answer all incoming phone calls and direct them to the appropriate department persons
• Provide general support to visitors and staff
• Daily mail pick up at the post office, and mail out as needed
• Assist with in-house or off-site activities, like community events, and remotes
• Maintain general office functions, including office supply inventory and ordering, performing regular office rounds to ensure office machines are in order
• Assist senior management with various tasks as needed to ensure the business runs smoothly and efficiently
• Pick up mail at the post office, mail out invoices, deposit checks, post payments, and enter broadcast orders for the sales department
• Support major sales initiatives
• May include light housekeeping duties

Skills, Knowledge & Experiences

• Proficient with Microsoft Office, including Word, Excel, PowerPoint
• Proficient with Google Suite including Gmail, Drive, Docs, Sheets, Forms
• Familiarity with email scheduling tools, like Email Scheduler and Boomerang
• Photoshop knowledge a plus
• Strong organizational and planning skills in a fast-paced environment
• Attention to detail and problem-solving skills
• Strong writing, proofreading, and verbal communication skills
• Excellent web and technology skills and comfortable troubleshooting tech issues
• Comfortable learning new technical/computer skills
• Minimum high school diploma required
• A minimum one year of administrative experience required
• Proven experience as an Office Manager, Front Office Manager, or Administrative Assistant preferred
