International Services Administrative Coordinator

University of Houston System

Overview Administrative coordinator for a department, handling operations such as human resources, payroll, telecommunications, facilities, and property inventory. Responsibilities Coordinate personnel administration including employee sign-up, faculty folders, payroll and implementation of related policies and procedures. Coordinate department administrative operations, including telecommunications, physical plant work orders, long distance codes, parking permits and ID card requests. Maintain personnel records such as employee information, timesheets and lost time reports; track status of submitted personnel and administrative forms. Coordinate and compile information for various programs and activities for faculty and graduate students. Oversee the work assignments of clerical staff and coordinate daily office operations. Coordinate all aspects of space management and conduct property inventory for the department. Review personnel and administrative documents for adherence to university regulations prior to obtaining certifying signature. Assist faculty, staff and students with personnel and administrative issues; serve as departmental liaison to administrative departments on campus. Perform other job-related duties as required. Qualifications MQ: Requires a basic knowledge of grammar, spelling, punctuation and simple mathematical functions like percentages, ratios, etc. as might normally be acquired through attainment of a high school diploma or GED. Requires a minimum of five (5) years of directly job-related experience. Additional Information Department is willing to accept education in lieu of experience. Department is willing to accept experience in lieu of education. Additional Duties to be Provided in the Job Description Assist international students and scholars by handling student requests, advising on office procedures for document processing, payments, and guiding students on immigration-related matters. Have complete knowledge of the International Student and Scholar Office’s website to direct students to the appropriate resources and documents. Assist in how to fill out forms properly and with cultural adjustment inquiries and concerns. Answer phone calls, emails, and assist students at the front desk. This role requires strong multi-tasking skills and handling a high volume of requests during peak processing times while remaining culturally sensitive. Assist with J-1 scholar check-ins and health insurance verification. Learn to navigate SEVIS functionality to assist F-1/J-1 students and their dependents. Direct students and scholars to appropriate resources and help acclimate to the University by directing them to the appropriate areas. All positions at the University of Houston-System are security sensitive and will require a criminal history check.
