Home Care Office Coordinator

Position Summary Coordinating administrative, business, and operational activities in the office, ensuring clear communication with branch leadership and maintaining accurate file records. Reliable transportation and insurance. Responsibilities Manage the Branch Phones: available to take, make, and follow up with calls to/from the branch. Document call information in case notes promptly. Calls are verified on the AWS Call Reports. Manage Emails/Teams Communications: keep emails and Teams open during office hours to address incoming messages promptly. Provide Client Care: cover critical clients when an aide is unavailable. Act as the first point of contact for covering critical clients during business hours. Complete Missed Visits in Real Time: if a client declines or cancels care, cancel the shift, document the call in case notes, and complete a Missed Visit Report immediately. Complete Client Complaint Log: document complaints in case notes and the Client Complaint Log on the R Drive, including insurance company and resolution details. Recruiting: manage candidate flow in ClearCompany daily/weekly, following the 3‑2‑1 Recruiting Process. Document candidate status. Ensure the first contact, interview, and onboard personnel secure hires. The 3‑2‑1 Recruiting Process: 3 Text Messages, 2 Phone Calls, 1 Email. Interviewing: interview candidates to determine suitability, and communicate next steps—reference checks, criminal background checks, residency proof, TB test requirements, etc. Orientations: schedule and conduct compliant orientations for candidates on their hire date, ensuring all compliance requirements are met. Hire/Start to meet monthly goals. Establish and Maintain Compliant Employee Files. Boots on the Ground Recruiting: engage in community outreach, distribute flyers, and raise awareness of Arcadia Home Care & Staffing weekly. Schedule and Attend Employment Job Fairs. Conduct Customer Service Calls with New Employees: reach out after the first day and again after three weeks to verify performance and satisfaction.
