They are not intended to be construed as an exhaustive list of all responsibilities, duties and skills required of personnel so classified. Provide administrative support for the National Membership Director, perform a variety of secretarial duties in support of departmental activities, and professionally communicate with visitors and callers. Essential Functions: Perform clerical and support functions for the National Membership Director and as needed for other administrative Office functions Answer telephones, direct calls, and take messages Communicate with customers, employees, and other individuals to answer questions, disseminate or explain information, process orders, and address complaints Maintain and update filing, inventory, mailing, and database systems, either manually or using a computer Open, sort, and route incoming mail, answer correspondence, and prepare outgoing mail Compile, copy, sort, and file records of office activities, business transactions, and other activities Compute, record, and proofread data and other information, such as records or reports Research and respond to various requests for information Type, format, proofread, and edit correspondence and other documents Assist in preparation of reports and presentations Operate office machines, such as photocopiers and scanners, facsimile machines, voice mail systems, and personal computers Prepare and distribute invoices or pay account expenses Complete work schedules, manage calendars, and arrange appointments Essential Skills and Experience: Type 50 or more wpm with accuracy Excellent professional written and verbal communication skills Excellent attention to detail Excellent organizational skills Excellent interpersonal skills Aptitude for numbers High level of proficiency in MS Office applications (Word, Excel, PowerPoint and Microsoft Outlook) and the ability to learn new software applications Experience with Microsoft SharePoint a plus Discretion with confidential information Required: Minimum 3 years of administrative support experience Required: High school diploma or equivalent Degree of Supervision: No Supervisory Responsibilities Physical Demands and Work Environment: The physical demands and work environment characteristics described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. This position requires occasional lifting and/or carrying of no more than 25 pounds, and bending, squatting, pushing and pulling.
