Job summary

Provide administrative support in the operation of the Service and Parts departments.

Provide customer service, organization, work coordination and assistance to both

Departments.

Summary of essential job functions

Assist the service manager in maintaining timesheets for payroll and provide weekly

report to accounting of attendance and service call reports. Issue purchase orders for

materials and verify delivery. Match vendor invoices to purchase orders and ensure re-

billable items are posted to work orders in a timely manner. Responsible for all

electronic Service Department filing. Coordinate all uniform clothing requests for the

technicians. Compile and maintain a list of all customers special requirements/processes

for accurate billing. Monitor and process online vendor portals. Assign and issue work

orders to the mechanics as needed and ensure accuracy in billing and equipment

information. Type the work order descriptions and enter parts accordingly. Post sublets

and purchases on work orders. Process customer credit card sales and batch the credit

machine daily. Assist as needed in performing day-to-day service operations, including

dispatching. Field customer calls and assist in general telephone reception. Review work

orders for additional notes and recommended work to be quoted. Send out quotes for

needed repairs and maintain contact with customers throughout the process until

completed. Maintain dispatch forecast board. Place parts orders, receive in parts orders

and put away. Help maintain accurate inventory counts. Assist with parts counter sales

including look-up, quoting and ordering. Attend monthly AR aging review meeting.

Minimum requirements

High School diploma or the equivalent. Two years related experience and/or training in

customer service, office administration, and customer relations. Geographical knowledge

of service area.

Abilities required

Strong customer service skills. Have ability to multi-task. Must be organized. Possess

some knowledge of the material handling industry. Good computer skills a must. Disclaimer
