Purchasing Administrator - Delivery Assurance

It is our expectation that each employee will offer his/her services wherever and whenever necessary to ensure the success of our endeavors.Position SummaryThis position provides execution and administrative support to the purchasing team with a primary focus on delivery assurance and supplier follow-up for existing purchase orders. The role is responsible for driving on- time delivery performance by managing supplier communications, renegotiation delivery dates when required, and maintaining accurate delivery commitments to support the production schedule. This position does not negotiate contracts or own sourcing strategy. Instead, it ensures that open purchase order and supplier commitments remain aligned to internal schedule requirements.Essential functionsDelivery Assurance and Open PO ManagementOwn day-to-day delivery assurance activities for existing purchase for existing purchase ordersMonitor open purchase orders to ensure material is delivered on time to meet the production scheduleFollow up with suppliers to confirm delivery dates and shipment statusRenegotiate delivery dates when required to align supplier commitments with internal schedule changesUpdate purchase orders with revised delivery dates and delivery related notes in ERP systemProcess and act on weekly Open PO reports includingReviewing supplier responsesUpdating delivery commitmentsEscalating delivery risk as neededReview internal exception shortage and late to required reports and take action to align part deliveries with the production scheduleNon-conforming material returnsCoordinate the return of non-conforming material to suppliers for rework or replacementTrack supplier rework or replacement commitments and delivery timelinesCommunicate status of returns to purchasing and operationsPurchasing Administrative SupportMaintain accurate records of delivery commitments, supplier communications, and follow-upsSupport Buyers by managing delivery follow-up and exception resolution activitiesProvide status updates related to delivery performance and open issuesPerform special projects and cross-coverage activities within purchasing team as neededJob SpecificationsStrong attention to detail and follow through] ability to manage multiple open delivery issues simultaneouslyClear written and verbal communication skills with suppliers and internal teamsComfortable working against changing production schedulesStrong organizational and documentation skillsEducation, certification and experienceHigh school diploma or GED requiredAssociate degree preferred0-2 + years of experience in Purchasing, Supply Chain, or Manufacturing AdministrationManufacturing environment experience preferredERP system exposure preferredProficiency with Microsoft Office (Excel, Outlook, Word) requiredCompany BenefitsMedical, dental, vision insurance with generous portion of premium paid by Enflite401(k) with company matchLife insurance, disability insurancePaid time offPaid company holidaysAnnual discretionary bonus eligibilityFun activities each month (past events have included cookouts, baking competitions, cornhole tournaments, water balloon fights)Physical Demands and Work EnvironmentWorking conditions are normal for that of a manufacturing/machine shop/office environmentAll employees are expected to adhere to company safety policies and wear personal protective equipment when exposed to work areas or performing tasks where it is required.Please note this job description is not designed to cover or contain a comprehensive listing of activities, duties or responsibilities that are required of the employee for this job.
