Chadds Ford Climate Control is looking for an organized and motivated HVAC Installation Department CSR / Dispatcher to support our installation department from the office.
We are a local, family-owned and operated HVAC and Plumbing company serving Southeastern Pennsylvania and Northern Delaware . We are looking for someone who can help coordinate installation schedules, communicate with customers, support install crews, organize job information, and help keep the department running efficiently.
Position Overview
The Installation Department CSR / Dispatcher will help manage the day-to-day communication and scheduling needs of the installation department. This role requires strong organization, clear communication, attention to detail, and the ability to work closely with installers, managers, sales representatives, office staff, and customers.

Responsibilities
Schedule and coordinate HVAC installation jobs
Communicate with customers regarding installation dates, arrival windows, job updates, and scheduling changes
Support installation managers and crews with daily job information
Review installation paperwork, proposals, job notes, material lists, and equipment information
Prepare and organize installation job documents
Confirm job details before scheduled installation dates
Apply for permits and help track permit status for installation projects
Schedule required inspections with townships, boroughs, inspectors, and customers
Maintain accurate permit and inspection documentation in company software
Follow up on open permits, inspection results, and required corrections as needed
Coordinate with sales representatives regarding job details, equipment, customer expectations, and installation requirements
Coordinate with the warehouse or purchasing team regarding equipment, parts, and material availability
Assist with ordering equipment and parts as needed
Communicate with customers regarding installation-related questions, concerns, and follow-ups
Help coordinate callbacks and installation-related service needs with the service department
Maintain clear notes and updates in company software
Help keep installation schedules organized and accurate
Support quality control, job readiness, and department efficiency
Provide professional customer service by phone, email, and text
Qualifications
Customer service, dispatching, scheduling, or office coordination experience preferred
HVAC, plumbing, construction, or home service experience is a plus
Strong communication and phone skills
Strong organizational skills and attention to detail
Ability to manage multiple schedules, updates, and priorities
Comfortable working with office software, scheduling systems, and customer management systems
Ability to read proposals, job notes, material lists, and equipment information
Experience applying for permits and scheduling inspections is a plus
Ability to communicate professionally with municipal offices, inspectors, customers, and internal team members
Ability to communicate clearly with installers, managers, sales staff, office staff, service technicians, and customers
Problem-solving mindset and ability to stay calm in a fast-paced environment
Professional appearance and positive attitude
