Administrative Medical Office Lead | CMA or LPN Preferred

Overview: This role supports the smooth operation of physician practice offices by organizing, coordinating, and supervising activities related to medical secretaries and assistants. Acting as a key resource in the absence of the Practice Coordinator, the position ensures excellent patient service and efficient practice operations across multiple locations. Front Office Responsibilities:
This position operates within a regional healthcare setting in the Midwest, offering a supportive and collaborative environment focused on quality patient care and operational excellence.
- Manage typing, copying, and creation of forms and reports, ensuring timely communication with physicians and departments.
- Answer phones, retrieve voicemails, and coordinate communication between patients, physicians, and staff.
- Maintain filing systems for patient and non-patient documents and provide feedback to improve front office efficiency.
- Proficiently use the electronic medical record (EMR) system to support front office duties.
- Deliver direct patient care and triage calls, providing reassurance and accurate guidance.
- Prepare patients for exams by obtaining vital signs and medical histories, observing abnormal symptoms, and communicating findings to physicians.
- Assist physicians with treatments, minor surgeries, and procedures, including applying splints and administering medications.
- Manage patient education, documentation, referrals, and laboratory testing as directed.
- Oversee daily operations and staffing of secretaries, receptionists, and medical assistants.
- Represent the department in public relations, committees, and educational initiatives.
- Coordinate staff scheduling, training, and performance reviews in collaboration with leadership.
- Maintain safe and functional work environments and manage departmental records and reports.
- Associate degree or equivalent required; candidates pursuing a bachelor's degree with at least two years completed may be considered.
- Completion of an accredited Medical Assistant or Nursing (LPN) program required or must be completed within three years of hire.
- Minimum of five years' experience in secretary, receptionist, or medical assistant roles.
