Office Administrator

Job Responsibilities Plan, direct, and coordinate administrative services for the Dallas office. Partner with site leadership to ensure efficiency with day‑to‑day operations. Serve as a welcoming point of contact for all visitors and employees, displaying a pleasant and supportive approach. Maintain office efficiency by coordinating day‑to‑day operations. Schedule and prepare internal and building conference rooms as requested. Arrange transportation as requested. Act as administrative assistant to Site Leaders/Presidents, performing scheduling, travel, expense report, and other duties as requested. Assist other leadership in related tasks. Serve as Company Phone Operator, taking shifts as needed. Act as point of contact for receiving and processing incoming mail and carrier deliveries; prepare outgoing mail and packages for daily shipping. Monitor all security access for employees and visitors, enforce security procedures and maintain guest badges. Manage parking administration as provided in sublease for office employees and visitors. Oversee ordering of office supplies, stocking breakroom supplies, copier/printer issues, general office appearance, submit building repair requests, set up new employees, and update office name plates. Work with the facilities team on special projects and company needs as deemed necessary. Participate in the social committee and support occasional after‑hours events. Provide administrative support including production of memos, reports, and presentations. Serve as one of the fire marshals/floor wardens assigned to the office. Recommend changes to procedures to improve operations within the office. Maintain onsite presence 5 days per week, Monday‑Friday. Spearhead holiday party planning and coordination. Complete additional duties as reasonably requested by the company. Qualifications and Experience 5 years’ experience preferred in an administrative role supporting office leadership. Strong multitasking and organizational skills. Excellent communication skills and detail oriented. Technical Knowledge and Understanding Proficient in use of Microsoft Suite, including Outlook, Word, Excel, and PowerPoint. Phone operator handling procedures. Mail procedures.
