Job description:
Receptionist is responsible for providing excellent customer service while greeting internal and external clients in person or on the phone. This role helps manage the day-to-day operations of the office. Duties will include answering incoming calls, operating the reception desk, and conducting security-related activities such as monitoring cameras and managing access control systems.
Temporary part-time position with an anticipated duration of at least six months and potential for extension. Schedule: Fridays, 8:30 AM5:00 PM
Responsibilities
- Greet guests warmly and professionally, provide them with refreshments, direct them to the conference rooms, and advise the appropriate department/staff that the visitors have arrived
- Maintain situational awareness and ensure only authorized guests gain access to the area
- Monitor office cameras
- Answer and screen incoming calls
- Prepare, send out, and receive shipments
- Screen incoming mail for security threats
- Manage office access control and fingerprint enrollment system
- Compile daily news report
- Keep lobby and reception area neat and clean
- Schedule conference rooms as needed
- Arrange office luncheons and Dessert Fridays (if Office Services is unable to do so)
- Notify Office Services when service providers are needed (e.g., for water, coffee, etc., and Transtar for building matters)
- Other duties as assigned
Skills
- Professional and pleasant demeanor
- Minimum one year of administrative/clerical experience preferred
- Excellent customer service skills, in person and on the phone
- Able to handle multiple projects simultaneously and meet deadlines upon request
- Work well under pressure with minimal supervision
- Strong attention to detail and solid organizational skills
- Basic knowledge of PC applications (Microsoft Word, Excel, PowerPoint, Outlook, etc.)
- Excellent written and oral communication skills
- Basic CPR/AED
- Excellent attendance record; punctual and dependable
$18 per hour
