Operations Coordinator

Position Summary: The Operations Coordinator ensures the smooth daily operation of Bailey’s Community Shelter by maintaining a safe, clean, and well-managed environment for clients and staff. This role oversees and trains Cooks, Housekeeping Staff, and collaborates with the Program Director and kitchen team to manage meal schedules, food preparation, and volunteer support. As the Certified Food Protection Manager, the coordinator ensures compliance with all health, safety, and sanitation standards. Responsibilities include managing food and supply inventory, maintaining accurate records, and following agency purchasing procedures. The Coordinator conducts regular facility inspections, ensures adherence to safety protocols, and supports staff through ongoing training. Rooted in the agency’s mission and values, this position promotes and models trauma-informed care in all operational practices. Duties and Responsibilities: Oversees the day-to-day operational needs of Bailey’s Community Shelter ensuring a safe, clean and well-managed environment for Staff, Clients, Volunteers and Guests. Provides oversight and training to Cooks, Housekeeping staff, ensuring all members of the team are equipped to perform their duties effectively. Assisting with coordinating vendor deliveries, meals, and donations for the facility. Collaborates with the Program Director and kitchen staff to manage meal schedules, oversee food preparation and ensure volunteers are well-prepared and supported. Serves as the Certified Food Protection Manager, delivering clear guidelines and training to staff on health, safety and sanitation standards. Oversees food inventory, kitchen supplies, and general shelter materials. Maintains accurate inventory records and follows the agency's procurement and purchasing procedures. Ensure that all areas of the facility are cleaned, sanitized, and organized to meet health and safety standards. Develop and implement a cleaning schedule, sanitation procedures, and inspection routines for all shelter spaces. Monitors and maintains high standards of cleanliness and physical safety, by conducting regular walk throughs, weekly unit inspection and maintenance and safety checks to ensure timely resolutions. Completes reports and ensures compliance with local, state and federal safety regulations. Ensure staff receive appropriate safety training, and all safety protocols are consistently observed. Ensures that a high standard of trauma-informed care in operational service delivery is provided to all clients in accordance with the agency’s mission, vision, and values. Performs other duties as assigned. Required Skills/Abilities: Identify and be driven by FACETS’ mission of serving internal and external clients. Prior non-profit experience preferred. H.S. Diploma required; bachelor's degree preferred. Ability to work in a fast-paced and dynamic operation. Excellent time management and organizational skills while maintaining high productivity, managing multiple tasks with competing priorities. Food Protection Manager Certification required. Experience with MS Office Suite, desktop publishing preferred - MS Publisher or Adobe. A team player, flexible and adaptable as circumstances evolve. Demonstrates strong written and verbal communication skills with diverse audiences. Attention to detail and concern for accuracy and excellence. Outstanding level of customer service. Must pass criminal and Child Protective Services background checks. Valid driver’s license, reliable transportation, good driving record, and personal car insurance. Ability to drive 15 passenger van. Physical Requirements: Prolonged periods of standing and walking. Must be able to lift 50 pounds at times. Must be able to attend occasional meetings at other FACETS office locations within Fairfax County, including 3 annual organization-wide fundraising events each year. Salary Range: Salaried: $45k–50k annually. FACETS offers a competitive salary commensurate with qualification/experience.
