Athletic Operations Coordinator

Job Title Athletic Operations Coordinator (Job Code: 816) Location: Campus Based, requires travel Reports to: VP of Student Life, Leadership & Athletics Job Summary The Athletic Operations Coordinator serves as the central operational and administrative hub for the Baker College Athletic Department. This role ensures the seamless execution of daily operations, event management, and program logistics to support coaches, staff, and student-athletes while maintaining compliance with NAIA, WHAC, and Baker College policies. Key Responsibilities Work with the Athletic Director to enforce NAIA, WHAC, and college regulations. Coordinate all department travel arrangements (transportation, lodging, meals). Maintain and track contracts, vendor agreements, policies, and procedures. Assist with finance and business processes: accounting, purchasing, financial reporting, and travel expenditures. Analyze monthly financial reports, create purchase orders, and reconcile expenses against budgets. Review sport-specific purchases and procurement card charges. Manage game contracts, schedule verifications, and event cancellations with opposing institutions. Oversee home game-day operations, coordinate officials, and manage visiting team logistics. Schedule facilities and practice times and coordinate internal communications among coaching staff, administration, and campus departments. Develop and evaluate protocols to prevent NAIA and WHAC violations. Monitor fundraising activities and ensure compliance. Participate in sport-specific fundraising and annual department fundraisers. Supervise, hire, onboard, and evaluate student employees and graduate assistants. Attend staff meetings, workshops, and retreats for departmental alignment. Coordinate community outreach and volunteer opportunities for student-athletes. Perform additional duties as assigned. Qualifications & Education Bachelor’s degree in Sports Management, Education, or related field (required); Master’s preferred. 2–5 years of collegiate or professional athletic experience. Experience with NAIA or NCAA preferred. Proven record in coaching, student-athlete development, and budgetary management. Required Skills Excellent communication with student-athletes and staff. Strategic thinking and decision-making to support college athletics growth. Ability to manage multiple priorities (operations, travel, budget, deadlines). Commitment to institutional integrity and adherence to NAIA/WHAC/college regulations. Knowledge of sport-specific strategies, recruiting platforms, video analysis tools, and Microsoft Office Suite. Perform duties efficiently and professionally while supporting the mission and vision of Baker College. Licenses / Certifications First Aid / CPR / AED Certification. Valid driver’s license. Physical Demands Involves bending, stooping, kneeling, twisting, reaching, sitting, standing, walking, lifting, finger dexterity, and repetitive motions. Must lift, push, pull, and move at least 25 pounds. Work Environment General office environment with moderate noise. Frequent travel including evenings, weekends, and flexible hours for recruiting, competitions, and program activities.
