Position Overview

This role oversees day-to-day site operations while actively supporting document production, reception, hospitality services, mail operations, and facilities coordination. The ideal candidate is customer service focused, proactive, possesses leadership experience, and thrives in a professional law firm environment.

Key Responsibilities

Site Operations & Leadership:

• Lead daily operations of a site with up to a 2-person team.
• Serve as the primary on-site contact for customer issues and contract compliance when no Site Manager is assigned.
• Develop, implement, and review operational procedures.
• Monitor workflow, productivity, quality, and deadline compliance.
• Hold direct reports accountable for performance, quality, and efficiency.
• Provide coaching, training, performance reviews, and development plans.
• Assist management with staffing and performance management activities.
• Address employee attendance and performance issues using client policies and tools.

Customer Service & Client Relations:

• Maintain daily communication with customers and business units.
• Ensure customer expectations and service level agreements (SLAs) are met.
• Support client Service Excellence initiatives.
• Handle pricing, order, and invoicing concerns by coordinating with internal departments.
• Maintain a professional and customer-focused work environment.

Document Services:

• Perform printing, copying, scanning, and other document production tasks.
• Operate advanced production equipment and perform complex document jobs.
• Train staff on workflow processes and machine operations when needed.

Facility & Office Management:

• Report and escalate facility-related issues.
• Coordinate with vendors, facility management, and building occupants.
• Escort vendors during inspections, tours, and maintenance activities.
• Report maintenance concerns, including: Lighting outages, Plumbing issues, Equipment/system malfunctions.
• Assist in scheduling repairs and maintenance services.
• Support office moves, seating arrangements, and space planning.
• Coordinate conference room scheduling and A/V equipment resources.
• Monitor and order office supplies and stationery.

Administrative & Financial Responsibilities:

• Create and complete work orders and site reports.
• Monitor contractor activities and conduct inspections.
• Ensure payroll accuracy by reviewing and correcting time clock entries.
• Complete month-end reports in the absence of the Site Manager.
• Manage site profitability and operational costs.
• Interpret and manage financial data, including Profit & Loss (P&L) statements, Budget projections, Cost management.
• Process supply orders using Oracle iProcurement.
• Maintain accurate invoicing and account management.

Required Qualifications

• High School Diploma or GED required.
• Minimum 2 years of experience in a related field.
• Experience delivering classroom and/or informal training sessions.
• Experience operating advanced office and production equipment.
• Leadership or supervisory experience preferred.
• Strong customer service skills.
• Excellent organizational and communication skills.
• Ability to set priorities and achieve realistic objectives.
• Proficiency with office technology and willingness to stay current with industry trends.
• Ability to interpret and apply complex information and instructions.

Physical Requirements

• Primarily office-based environment.
• Regular walking, standing, bending, and reaching.
• Ability to lift and carry up to 50 lbs.
• Moderate manual dexterity required for: Keyboard use, Calculators, Hand tools, Document handling, Equipment operation.

• Professional law firm setting.
• Adequate lighting, ventilation, and standard office noise levels.
• Business casual dress code.
