Administrative Assistant - Executive

Position: Administrative Assistant – Executive at Regions, located in Hoover, Alabama. Job Summary The Administrative Assistant – Executive provides advanced, diversified, and confidential administrative support to an executive, senior manager, or a group of leaders. The role involves managing sensitive information, coordinating meetings and events, administering travel, handling complex projects, and serving as a resource for associates. Primary Responsibilities Manages confidential, strategic, and business critical information Coordinates meetings and events (onsite and offsite), reserves and prepares facilities, prepares necessary materials and distributes minutes of meetings Completes complex projects Keeps abreast of all technology used by department and troubleshoots any issues Manages leader's email inbox Initiates routine and non-routine correspondence and memoranda Prepares reports and presentations Coordinates details related to business travel Completes expense reports Schedules and maintains calendar of appointments Greets and directs visitors Answers and directs incoming calls Resolves routine and complex inquiries Assists with scanning, copying, faxing, filing, mailings, and other similar tasks Receives and distributes mail Orders supplies and equipment Acts as a resource to associates with less experience May provide backup to other Administrative Assistant associates for coverage and/or additional assistance needed Requirements High School Diploma or GED Seven (7) years of administrative experience Skills and Competencies Ability to deal well with changing assignments and priorities Ability to maintain confidentiality Ability to perform duties with high level of autonomy Ability to work in a fast-paced work environment Ability to work under pressure and meet deadlines Advanced skills with Microsoft Office (Excel, Word, PowerPoint, Outlook, etc.) Attention to detail Customer service oriented Strong verbal, written communication, and organizational skills Strong work ethic and self-motivation Additional Job Description Strong decision‑making skills combined with a high level of organization. Experience managing high‑volume email inboxes and driving workflows to completion. Excellent written and verbal communication skills across diverse stakeholders. Experience preparing and editing basic PowerPoint presentations and documents. Ability to manage complex calendars, including scheduling and meeting coordination. Proven track record of tracking priorities and ensuring accountability to deadlines. Proactive approach with the ability to anticipate needs and resolve issues. Experience coordinating travel arrangements and detailed itineraries. Ability to interface with vendors and support meeting or event logistics (preferred). Experience supporting executives across different locations or time zones. Position Type Full time Compensation Target: $67,250 – $84,970 USD. This position is not incentive eligible. The manager will set the work schedule for this position, including in‑office expectations; the role is onsite with full days in the office five days a week. No relocation assistance is provided, and relocation would be at the employee’s expense. The position must be within a reasonable driving distance to Birmingham, AL or Charlotte, NC. Exceptions may be made for current Regions associates who work remotely. Visa and Work Authorization Regions will not sponsor applicants for work visas for this position.
