The Role

We’re looking for a compassionate, organized, tech-savvy, and highly motivated Patient Care Coordinator to join our growing practice.

This is more than a front desk position. We are looking for someone who wants to grow with our company, take on increasing responsibility, and potentially advance into a Practice Manager role.

You’ll begin by learning the day-to-day operations of our front office, patient coordination, scheduling, and administrative systems. As you demonstrate reliability, initiative, leadership, and a strong understanding of the practice, there will be opportunities to take on additional responsibilities and grow into a larger operational role.

We are a small, close-knit, family-oriented team , so every person we hire is a vital part of our practice. We want someone who works well with others, is willing to jump in where needed, and genuinely wants to become part of the team.

What You’ll Do

• Welcome patients with professionalism, compassion, and warmth.

• Build strong, lasting relationships with patients throughout their care.

• Manage scheduling, patient check-ins/check-outs, and payment collection.

• Coordinate patient care, including MRI orders, prescriptions, referrals, records, and follow-up communication.

• Maintain accurate patient charts and process documents efficiently.

• Manage a high volume of phone calls, emails, faxes, and administrative tasks.

• Assist physicians with procedures and treatments when needed.

• Help patients obtain medical records and imaging results.

• Educate patients about available services and help coordinate appropriate treatment options.

• Use technology and AI tools to improve efficiency, organization, communication, and daily workflows.
  
  
• Identify opportunities to improve office systems and the overall patient experience.

• Help maintain an organized, welcoming clinic, including supplies, treatment rooms, snack/coffee areas, laundry, and room resets.

• Take on additional responsibilities as your knowledge of the practice and leadership abilities grow.

Required:

• Minimum 2** years of experience** in a medical office, healthcare administration, or medical reception role.

• Strong computer and typing skills.

• Comfort working with multiple software platforms and learning new technology.

Preferred but not required:

• Familiarity with regenerative medicine or non-surgical orthopedics.

• Phlebotomy certification.

• Experience with Tebra (Kareo) or similar EHR software.

• Previous experience with AI productivity tools.
