Medical Assistant / Patient Care Coordinator

The Modern Woman Gynecology

The Modern Woman is a modern, patient-centered women’s health and wellness practice focused on comprehensive gynecology, hormone and metabolic health, wellness, and aesthetic services. We are seeking a warm, organized, motivated Medical Assistant / Patient Care Coordinator who enjoys working directly with patients and helping create an exceptional experience from the moment they enter the practice.

This is a hybrid role combining medical assisting, patient coordination, administrative support, and customer relationship management . The ideal candidate is personable, professional, highly organized, comfortable with technology, and able to work independently in a boutique private-practice environment.

Responsibilities

Patient Care & Clinical Support

• Warmly greet patients and create a welcoming, professional experience
• Room patients and complete patient intake
• Obtain and document medical histories, medications, allergies, and reason for visit
• Measure and document blood pressure, weight, and other vital signs
• Accurately enter and update patient information in the EMR
• Prepare charts and ensure relevant information is available for the physician
• Assist the physician with patient flow and clinical needs
• Prepare clear patient visit summaries and follow-up instructions
• Coordinate laboratory testing, imaging, prescriptions, referrals, and follow-up appointments as directed

Patient Care Coordination

• Serve as a point of contact for patients before and after appointments
• Help patients understand next steps in their care
• Assist with scheduling follow-up visits and treatments
• Provide excellent customer service by phone, text, email, and patient portal
• Follow up with patients regarding outstanding labs, imaging, appointments, and treatment plans

CRM & Practice Growth

• Accurately maintain and track patient information within the practice CRM
• Follow up with prospective and existing patients regarding consultations, treatments, and services
• Track patient inquiries and ensure timely responses
• Help maintain strong patient relationships and continuity of care
• Assist with converting appropriate inquiries into scheduled consultations or appointments

Practice Operations

• Complete daily opening and closing procedures
• Prepare treatment rooms and maintain a clean, organized clinical environment
• Monitor and restock medical and office supplies
• Maintain accurate patient records and protect patient confidentiality
• Assist with general administrative tasks and day-to-day practice operations

Ideal Candidate

• Comfortable multitasking in a growing medical practice
• Proficient with computers, EMRs, scheduling systems, and CRM platforms
• Able to write clear and professional patient communications
• Reliable, proactive, and able to anticipate what needs to be done
• Comfortable discussing wellness and aesthetic services with patients
• Interested in women's health, wellness, longevity, and aesthetics
• Able to maintain discretion and strict patient confidentiality

Medical assistant or healthcare experience is strongly preferred. Experience in OB/GYN, women's health, concierge medicine, wellness, aesthetics, or a med spa environment is a plus.
