The Field Administrator is a field-based support position within the Cost Controls department. This role serves as a primary resource for Foremen and Superintendents when field systems, technology, or administrative processes are not working as intended. The Field Administrator works directly with field teams to support tablets and mobile devices, time entry, production tracking, materials tracking, and system adoption. This position helps remove barriers that prevent field teams from using company tools and processes effectively while ensuring accurate information flows from the field to Cost Controls, Project Management, Payroll, and other office teams. This is a hands-on role requiring daily interaction with active construction crews and frequent travel between jobsites. Field Administrator Responsibilities Serve as the first point of contact for field technology issues involving tablets, phones, hotspots, connectivity, application access, password resets, and device replacements. Provision, configure, and deploy devices to new crews and new hires. Maintain accurate device assignment and inventory records. Troubleshoot common technology and application issues directly at active jobsites. Escalate issues to corporate IT or software vendors when necessary and follow through to resolution. Maintain a log of recurring field technology and system issues. Identify trends and communicate recurring issues to the Director of Project Cost Controls. Time Entry Support Support Foremen with daily time entry, including job, phase, and cost code selection. Assist with accurate recording of regular hours, overtime, per diem, and other applicable information. Identify and help correct time-entry errors before payroll deadlines. Coordinate with Payroll regarding missing, incomplete, or incorrect time. Train new Foremen and field employees on time-entry procedures. Provide refresher training as systems and processes change. Identify recurring time-entry issues and work with Cost Controls and Operations to improve the process. Production Tracking Support Foremen and Superintendents in capturing daily production quantities. Help ensure production is reported against the appropriate budgeted cost codes. Reconcile field-reported quantities with information recorded in company systems. Research discrepancies and work directly with field leadership to resolve them. Assist Project Managers and Cost Controls with gathering field-level information needed for cost reporting and forecasting. Reinforce the importance of accurate production reporting and help make tracking a routine part of field operations. Materials Tracking Support field teams with documenting material receipts, deliveries, transfers, and returns. Ensure delivery tickets, packing slips, and related documentation are captured, legible, properly coded, and submitted. Assist with reconciling material quantities against invoices, purchase orders, and field records. Research and resolve material ticket and invoice discrepancies with Accounts Payable, Project Management, purchasing, and the yard. Support tracking of consumables, small tools, and materials issued to crews. Field Training & System Adoption Provide hands-on training and refresher support to Foremen, Superintendents, and field employees. Develop simple field-facing job aids, quick-reference cards, and how-to guides in English and Spanish. Support the implementation and rollout of new systems, tools, and field processes. Participate in pilot programs and phased system deployments. Monitor adoption of company systems and identify barriers preventing successful use. Build trust and credibility with field teams through responsive and practical support. Field-to-Office Communication Serve as a two-way communication channel between field operations and the office. Communicate field concerns, recurring issues, and process breakdowns to the Director of Project Cost Controls. Provide specific, actionable feedback and recommendations. Help the Cost Controls team understand field challenges and identify opportunities for improvement. Support continuous improvement initiatives that improve data accuracy, accountability, and field efficiency. Scope of the role The Field Administrator supports the field's use of company systems, technology, and administrative processes. This position does not direct crew work, sequencing, manpower, or production activities. Foremen and Superintendents retain ownership of their crews and field operations. The Field Administrator's role is to make that ownership easier by ensuring field teams have the tools, training, information, and support necessary to accurately complete required processes. Qualifications Required 2+ years of experience in field support, field administration, project coordination, construction administration, or a related construction role. Comfortable working on active construction jobsites in varying weather conditions. Strong practical technology skills with the ability to troubleshoot tablets, mobile devices, applications, and connectivity issues. Proficiency with Microsoft Excel and Outlook. Strong organizational and communication skills. Service-oriented and patient with the ability to work effectively with field employees. Ability to build trust and credibility quickly with Foremen, Superintendents, and field crews. Ability to work independently and manage support across multiple active jobsites. Valid Texas driver's license and acceptable driving record. Strongly Preferred Bilingual in English and Spanish. Experience in underground utilities, heavy civil, site development, or construction. Experience working directly with Foremen and Superintendents. Experience with construction ERP systems such as Spectrum, Viewpoint, or similar platforms. Experience with construction field applications for time entry, production tracking, documentation, or safety. Familiarity with cost codes, phase codes, job costing, and project structures. Experience with material tracking, delivery tickets, purchase orders, or invoice reconciliation. Success in the first 90 days Become known by name across Moss Utilities' active crews and establish yourself as a trusted field resource. Become a go-to resource for common field technology and system issues. Establish strong working relationships with Foremen and Superintendents. Reduce late, missing, and incorrectly coded time entries. Improve the completeness and accuracy of production reporting. Improve the timely capture and coding of material tickets. Identify and document recurring field technology and process issues. Provide the Director of Project Cost Controls with actionable recommendations to improve field processes and system adoption. Ongoing performance indicators Time-entry accuracy and on-time submission rate. Production quantity reporting completeness and accuracy by project. Materials ticket capture and reconciliation cycle time. Field support response and resolution time. Adoption rate of newly implemented systems and workflows. Reduction in recurring field technology and process issues. Quality and timeliness of field-to-office communication. Physical requirements & work enrollment Work is performed primarily on active construction jobsites with regular exposure to heat, cold, dust, noise, uneven terrain, and other typical construction-site conditions. This position requires the ability to: Walk active construction jobsites. Stand and move for extended periods. Safely navigate uneven and changing terrain. Lift and carry up to 25 pounds. Drive between multiple active projects on a daily basis. Work outdoors in varying weather conditions. Wear all required personal protective equipment (PPE) while on active jobsites.
