Lead Provider Services Specialist

POSITION OVERVIEWThe Lead Provider Services Specialist (PSS) oversees provider compliance activities and ensures adherence to Texas Workforce Commission regulations, Board directives, and organizational policies. This role leads monitoring efforts, technical assistance, and training initiatives to support provider contractual compliance. The position helps ensure the accuracy and completeness of provider documentation and data management within the State of Texas' Child Care management software. The role also drives continuous improvement efforts by identifying operational efficiencies, mentoring staff, and supporting high-quality service delivery, while providing mentoring and team support to the PSS unityExpected Positive OutcomesMaintain complete and audit-ready provider files, ensuring compliance with documentation and contractual requirements.Improved attendance recording consistency and a reduction in technical assistance inquiries through proactive provider education and support.Meet or exceed the required number of monitoring visits required by TWC.Resolve complex provider contract issues and escalated concerns efficiently, contributing to improved provider relationships and operational continuity.Essential FunctionPrepares and maintains updated paperwork for all records within the time frames specified by the Texas Workforce Commission and Board area directives and policies and procedures.Provides guidance and oversight for accurate and timely updates within the State of Texas’ child care management system, ensuring data integrity and regulatory compliance across the team.Directs and coordinates monitoring activities of providers to ensure adherence to contractual requirements, state regulations, and quality standards, while providing advanced technical assistance and corrective action guidance as needed.Conducts follow up visits on service improvement agreements.Serves as a subject matter expert on unit procedures, policies, and operational guidelines, leading team participation in meetings and training to strengthen understanding of the ETWDB system and related initiatives.Works closely with Supervisor in developing and implementing plans for large scale unit projects and tasks.Leads the resolution of complex provider contract issues, escalated complaints, and operational concerns by working collaboratively with management, and Family Services team members.Helps ensure all provider files are complete, accurate, and compliant with required documentation standards, including service agreements, tax documentation, deposit forms, and state licensing recordsIdentifies, evaluates, and recommends process improvement initiatives, helping to develop and implement strategies that enhance compliance, workflow efficiency, and overall program performance.Provides leadership, mentoring, and support to team members, promoting accountability, professional development, and consistent application of policies and procedures.Performs other duties as assignedComplies with all policies and standardsPREFERRED/ REQUIRED QUALIFICATIONSEducationEducation LevelEducation DetailsRequired/ PreferredHigh School Diploma or EquivalentMinimum of a High School Diploma or EquivalentRequiredAssociate'sDegreeAssociate's degree or equivalent from two-year college or technical school preferred or equivalent combination of education and experience.PreferredWork ExperienceExperienceExperience DetailsRequired/ Preferred2-4 yearsAt least 2 years' work related experienceRequiredKnowledge, Skills and AbilitiesKSAsProficiencyIntermediate experience in Microsoft Word, Excel, and OutlookAbility to handle escalated situations with critical thinking skills and problem solving techniques.Ability to manage multiple projects simultaneously.Demonstrated ability to work with customers and vendors, keep detailed records, and enter data accurately and timely into automated data basesCOMPUTER PROFICIENCY:Intermediate experience in Microsoft Word, Excel and OutlookLANGUAGE REQUIREMENTS:English (written & verbal)Licenses and CertificationsLicenses/CertificationsLicenses/Certification DetailsTime FrameRequired/ PreferredDL NUMBER - Driver License, Valid and in StateValid Texas driver's license and Auto Liability InsuranceUpon hireRequiredPHYSICAL DEMANDS/WORKING CONDITIONSPhysical Demands Category:Office and Administrative SupportPhysical DemandsA thorough completion of this section is needed for compliance with legal standards such as the Americans with Disabilities Act.
