Operations Coordinator - HVAC Filtration

We are seeking a detail-oriented and proactive professional to support day-to-day operational coordination within a fast-paced service environment focused on HVAC filtration. This role is ideal for someone who enjoys organizing workflows, supporting field teams, and helping ensure customer requests are handled efficiently and accurately. Experience with Fieldpoint Service Manager software is preferred and will be an asset in managing service activities, scheduling, and operational records.

Responsibilities

• Coordinate daily operational tasks related to HVAC filtration service activities
• Support scheduling, dispatching, and communication between internal teams, field personnel, and customers
• Monitor service requests, work orders, and job status to help ensure timely completion
• Maintain accurate records in service management systems, with a preference for Fieldpoint Service Manager
• Assist with tracking materials, equipment, and service documentation
• Respond to customer inquiries and provide professional support regarding service updates and scheduling
• Collaborate with team members to resolve operational issues and improve workflow efficiency
• Prepare reports, update databases, and support general administrative functions as needed
• Help ensure compliance with internal procedures and quality standards

Qualifications

• Experience in operations coordination, customer service, dispatch, or administrative support in a service environment
• Knowledge of HVAC, filtration, or related field service operations is preferred
• Fieldpoint Service Manager software experience is preferred
• Strong organizational skills and attention to detail
• Ability to manage multiple priorities and work effectively in a fast-paced environment
• Clear written and verbal communication skills
• Proficiency with Microsoft Office or similar business software
• Ability to work collaboratively with cross-functional teams
• Problem-solving mindset and a commitment to delivering excellent service
