University Police Department (UPD) - Payroll Coordinator

Type of Appointment: Full‑Time, Probationary Job Classification: Administrative Analyst/Specialist Exempt I Anticipated Hiring Range: $5,274–$5,709 per month Work Schedule: Monday – Friday 8:00 am – 5:00 pm Department The University Police Department (UPD) provides law enforcement, security, and emergency response services at Cal Poly Pomona. The Parking & Transportation Services Division manages parking resources to support campus safety. Duties and Responsibilities Scheduling and Absence Management Maintain and oversee payroll processes using PeopleSoft and InService. Calculate and track excess and deficit pay periods for alternate work schedules. Interpret rules and regulations, select proper reporting codes, and analyze collective bargaining agreements. Coordinate payroll and financial transactions with the budget analyst. Provide oversight for state and federal compliance and manage UAT for system upgrades. Student Payroll Complete student assistant job offer forms, track schedules, and report hours to payroll. lnService Workforce Management Software Subject Matter Expert Maintain and troubleshoot lnService software. Lead training for staff and supervisors. Participate in meetings to improve software functionality. Administrative Support Provide support to UPD divisions, including scheduling, travel documents, reports, and project management. Event Support Participate in on‑campus events with Police/Parking personnel during working hours, after hours, or weekends. Qualifications Bachelor’s degree or equivalent training and experience in administrative policies, procedures, or programs. Valid driver’s license. At least two years of related experience. Working knowledge of budget policy, data analysis, and interpretation of policies and procedures. Ability to analyze data, manage multiple priorities, and produce reports. Preferred Qualifications Minimum of two years of payroll responsibilities in a professional setting. Experience processing payroll for employees with alternate work schedules. PeopleSoft Human Capital Management experience. Advanced accounting and record‑keeping knowledge. Understanding of Human Resources policies. Ability to handle confidential payroll documentation. Strong time‑management, organizational, and communication skills.
