Program Support Assistant

VETERANS HEALTH ADMINISTRATION

Summary

The position is located in the office of the Chief, Primary Care Community Clinics Service (PCCCS) and provides support to the Chief and the Administrative Officer, PCCCS. The position provides back-up coverage for the Administrative Officer and also performs administrative support for the Primary Care office. This position reports directly to the Administrative Officer for PCCCS. The PCCCS is located in the Southern Arizona VA Health Care System in Tucson, AZ.

Duties

Help

Duties include but not limited to:

  • Reviews and screens all incoming and outgoing correspondence, reports, memoranda, publications, regulations, and directives that affect PCCCS, justifying the full range of office services, or answering questions concerning policies and procedures related to support/office services.
  • Communicates regularly with other Service Chiefs or AOs, and Chief of Staff personnel.
  • Maintains master tracking spreadsheet for incoming and outgoing action(s) to the service.
  • Maintains the PCCCS activity calendar and schedules appointments, conferences, and meeting minutes.
  • Serves as the timekeeper for Primary Care. Enters leave data into the computer and compiles leave records used to compile reports.
  • Schedules educational training and records non-automated training sessions attended by Primary Care staff.
  • Has primary responsibility for information management systems related to the evaluation and use of complex data sets which impact the benefit and delivery of health care services for Primary Care.
  • Serves as the lead ADPAC for PCCCS, an expert in software applications used within the PCCCS.
  • Serves as a liason with IT Specialists and other ADPACS.
  • Provides general office supply and equipment support services such as obtaining standard office supplies and services, procuring, and manages and assists with the completion of equipment inventory for PCCCS.
Work Schedule: Monday - Friday 7:30am to 4:00pm

Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 07/16/2026.

Time-In-Grade Requirement : Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.

You may qualify based on your experience and/or education as described below:
  • Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: experience utilizing office automation tools to building and maintain electronic files, generating reports, and creating documents; experience performing customer service duties such as providing administrative support to medical staff in clinic management processes; reviewing and processing official documents and forms to ensure compliance with an organization's policies, directives, guidelines, or training materials.

Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.

Note : A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment.

Physical Requirements: The work is primarily sedentary but does require standing, sitting, bending, stooping, walking, and carrying of light items such as books, paper, and equipment. At times, the work may also include assisting with equipment and patient movement utilizing proper body mechanics.

Receiving Service Credit for Earning Annual (Vacation) Leave : Federal Employees earn annual leave at a rate (4, 6 or 8 hours per pay period) which is based on the number of years they have served as a Federal employee. VA may offer newly-appointed Federal employee's credit for their job-related non-federal experience or active duty uniformed military service. This credited service can be used in determining the rate at which they earn annual leave. Such credit must be requested and approved prior to the appointment date and is not guaranteed.
