Access Control Specialist

The Access Control Specialist is responsible for maintaining a safe, secure, and welcoming environment for residents, guests, team members, vendors, and visitors at a luxury residential property in Pompano Beach. This position serves as a key point of contact for access control, security operations, resident and guest assistance, and the enforcement of established property safety and security protocols.

The ideal candidate will demonstrate exceptional customer service, sound judgment, strong attention to detail, professionalism, and the ability to respond calmly and effectively to routine and emergency situations. The Access Control Specialist will work closely with property management, residents, vendors, team members, and law enforcement or emergency personnel as needed.

Essential duties and responsibilities include:

• Monitor and control access to the property, including entrances, exits, resident areas, amenities, parking areas, and other controlled-access locations.
• Verify credentials and authorization for residents, guests, vendors, contractors, delivery personnel, and other visitors in accordance with property procedures.
• Maintain accurate visitor and access records and ensure all access-control procedures are consistently followed.
• Monitor security systems, cameras, alarms, access-control systems, and other security equipment as assigned.
• Conduct regular patrols of the property's interior and exterior perimeter to identify and address potential safety, security, maintenance, or access concerns.
• Identify and report suspicious activity, unauthorized access, safety hazards, and undesirable conditions promptly to management.
• Maintain a highly visible and professional presence throughout the property.

Resident & guest services include:

• Provide exceptional, professional, and courteous service to residents, guests, and visitors while maintaining appropriate security protocols.
• Respond promptly and professionally to resident and guest inquiries, requests, and concerns.
• Assist residents and guests with access-related questions and provide appropriate direction or assistance.
• Maintain discretion and confidentiality when handling resident information, access credentials, incidents, and sensitive situations.
• Support the property's luxury service standards by creating a secure, welcoming, and professional environment.

Safety & emergency response includes:

• Respond promptly and appropriately to emergencies, including fires, medical emergencies, safety hazards, security threats, suspicious activity, and threats to life or property.
• Follow established emergency response procedures and immediately notify appropriate management, emergency services, or law enforcement when necessary.
• Assist with emergency evacuations, building incidents, severe weather events, and other emergency situations as directed.
• Report safety concerns and assist management with maintaining compliance with applicable OSHA requirements and federal, state, and local safety standards.
• Participate in safety meetings, training programs, drills, and safety initiatives as required.
• Support safety awareness and incentive programs as directed by management.

Incident reporting & investigations include:

• Prepare accurate, detailed, and timely reports regarding incidents, accidents, injuries, security concerns, access violations, property damage, theft, and other unusual occurrences.
• Assist management with investigations involving accidents, theft, property loss, unauthorized access, rule violations, and other incidents.
• Preserve relevant information and documentation and promptly escalate serious incidents to property management.
• Maintain confidentiality and professionalism throughout all investigations.
• Serve as a liaison with law enforcement, fire rescue, emergency medical services, and other governmental agencies when appropriate.

Lost & found includes:

• Maintain oversight of the property's lost-and-found process.
• Properly document, secure, and maintain found property in accordance with established procedures.
• Assist with the return of items to their rightful owners while maintaining appropriate documentation and verification.

Team support & communication includes:

• Work collaboratively with Property Management, Maintenance, Concierge, Front Desk, Valet, vendors, contractors, and other property team members to maintain a safe and secure environment.
• Communicate security concerns, operational issues, and resident or guest matters promptly to the appropriate manager.
• Participate in property meetings, safety meetings, training sessions, and other meetings as required.
• Provide guidance to team members regarding access-control procedures, emergency protocols, and established safety and security practices.
• Maintain professional relationships with residents, guests, team members, vendors, and external agencies.

Compliance & operational responsibilities include:

• Follow all company, property, association, and departmental policies and procedures.
• Maintain compliance with applicable federal, state, and local laws, regulations, safety standards, and property requirements.
• Maintain accurate records, logs, reports, and documentation associated with access control and security operations.
• Assist with department operational planning and communicate equipment, staffing, supply, or other operational needs to management.
• Participate in training and professional development activities to maintain current knowledge of security, safety, emergency response, and access-control procedures.

Requirements include:

• Previous experience in security, access control, concierge services, hospitality, luxury residential properties, or a related field preferred.
• Experience working in a condominium, HOA, luxury high-rise, hotel, or high-end residential environment is highly preferred.
• Strong customer service and communication skills.
• Ability to remain calm, professional, and composed during emergencies or difficult situations.
• Strong observational and problem-solving skills.
• Ability to exercise sound judgment and maintain confidentiality.
• Proficiency with computers, access-control systems, security cameras, radios, and other security-related technology preferred.
• Ability to accurately complete written reports and documentation.
• Must be able to work independently and as part of a professional property management team.
• Availability to work flexible schedules, including weekends, holidays, evenings, and/or overnight shifts as required by property operations.

Physical Requirements

• Ability to stand and walk for extended periods.
• Ability to conduct routine interior and exterior property patrols.
• Ability to respond quickly to emergency situations.
• Ability to communicate effectively using radios, telephones, and other communication equipment.
• Ability to perform duties in varying weather conditions when conducting exterior patrols.
