About the Role We are looking for a Client Intake & Operations Specialist who enjoys helping people while also thinking critically about how to improve processes. This position serves as the first point of contact for prospective clients. Every new phone call, website inquiry, seminar attendee, and referral begins with you. Your ability to build trust, gather the right information, and guide potential clients through our intake process plays a direct role in helping families receive the legal guidance they need. Beyond managing daily intake, this role also owns the success of our intake system. We are continually refining how we communicate with prospective clients, follow up with leads, and convert inquiries into consultations, and consultations into clients. What You'll Do Serve as the first point of contact for all new prospective clients by phone, website inquiries, seminars, and referrals Guide prospective clients through our intake process using established scripts and procedures Schedule consultations and ensure all intake information is accurate and complete Conduct follow-up calls, texts, and emails with prospective clients according to firm procedures Maintain accurate lead information within our intake systems Ensure every prospective client receives a 0professional, responsive, and compassionate experience Monitor lead activity and identify opportunities to improve response times and client communication Evaluate the effectiveness of intake scripts, follow-up campaigns, and communication strategies Track key performance metrics, including lead conversion rates and follow-up effectiveness Recommend and implement improvements to help our intake process become more efficient and successful Work closely with attorneys and management to continually improve the firm's client acquisition process Systems and Tools You Will Use Microsoft Office 365 Actionstep CRM Attorney Fuel Intake System Experience with these systems is helpful but not required. We are happy to train the right candidate. You'll help ensure every prospective client receives an outstanding experience while continually improving the systems behind that experience. Successful candidates will help us: Respond to every lead quickly and consistently Improve consultation scheduling and lead conversion rates Strengthen our follow-up process Identify trends in lead quality and marketing performance Continuously refine our scripts, workflows, and client experience Compensation and Benefits

• 42,000 to $50,000 for candidates with strong client service, administrative, or customer experience backgrounds who demonstrate excellent communication skills, organization, and the ability to learn and manage our intake systems.
• 40,000 to $56,000 for candidates with prior experience managing client intake, CRM systems, lead follow-up processes, sales experience, legal intake, or comparable roles involving process improvement and performance tracking.
