Medical Education Business Specialist - Position Starting at $18.46/hr

Job Description Summary The Medical Education Business Specialist represents OhioHealth Graduate Medical Education (GME) when interacting with residents, fellows, internal customers, guests, and vendors. This person should be articulate, forward thinking, proactive, and able to anticipate needs and resolve problems quickly and accurately. As an integral part of the GME Team, this role supports the daily operation of the Medical Education office and its stakeholders, promotes system strategies and priorities, and strengthens the performance of OhioHealth graduate and undergraduate learners. Responsibilities and Duties Fiscal Support: Accurate and timely processing of purchase orders, travel and expense reports, mileage, and cash advance for residents, faculty, and staff; coordination with Accounts Payable, Procurement and other fiscal offices; use of enterprise software systems such as Workday. Resident Housing: Manage resident housing needs, negotiate rate agreements, work with contract department and process monthly purchase orders. Foundation Expenses: Process RFE’s for Foundation expenses. Project Support: Lead or assist projects such as website content, recruitment and orientation materials; use logical reasoning to identify alternative solutions and conclusions. Document Management: Organize and retrieve information for training verifications, shadowing, and rotation requests; securely manage confidential information; follow OhioHealth records retention policies. Meeting Preparation and Management: Create and manage agendas, meeting invitations; coordinate and order catering; gather and disseminate meeting materials; arrange audio‑visual equipment; support medical student orientation and rotation meetings. Service Delivery: Anticipate DME needs; interact with customers, peers, and OhioHealth associates; onboard new staff and balance autonomy with teamwork, especially when supporting multiple projects. Communication Delivery and Management: Prioritize and respond to department e‑mail; greet callers, receive and screen calls; manage and delegate information requests; prepare correspondence using Microsoft Office or other software. Calendar Management: Complex calendar management for the Director of Medical Education, including scheduling, prioritization of appointments, meetings such as Program Director meetings, GMEC, physician recruiting interviews and senior leadership meetings. Manage weekly in‑office schedule and conference‑center room schedules. Access Control: Request and monitor badge and IS access for medical students, rotating residents, staff, and faculty; collaborate with Pharmacy to provision temporary DEA accounts as needed. General Office Support: Answer phones and direct calls, greet visitors, order supplies, manage maintenance and repair of work area, handle copier/printer services, kitchen and break‑room organization, vendor coordination and mail distribution. Ensure focus on safety, quality, and efficiency in all activities as part of a High Reliability Organization. Minimum Qualifications High School or GED (Required) Superior organizational skills and attention to detail Excellent written and verbal communication and interpersonal skills Problem‑solving ability and diplomatic handling of sensitive and confidential situations Ability to work collaboratively as a team member High degree of initiative, independent judgment, decision making and critical thinking Proficiency in prioritizing responsibilities and meeting deadlines Intermediate level or higher proficiency in Microsoft Office Ability to build and maintain collaborative relationships with stakeholders Willingness to meet strict timelines in a fast‑paced environment Ability to accept and incorporate feedback Confidentiality and discretion Work Shift and Hours Day schedule, 40 hours per week.
