Advancement Coordinator
Under the direction of the Stewardship Manager, the Advancement Coordinator oversees advancement department administrative and stewardship activities, gift and records management, and other standard operating procedures. In addition, the Advancement Coordinator ensures that the museum's membership, annual fund, and individual giving programs are supported in their delivery of transformative gifts benefiting HoMA's organizational strategies and annual plans.
Opened in 1927, the Honolulu Museum of Art is a home for art and education created for the benefit of the entire community. Founder Anna Rice Cooke envisioned a museum that would bring people together through the power of art and "the deep intuitions that are common to all." The museum was conceived of as a place of meaningful exchange and dialogue, celebrating the diverse artistic and cultural traditions of Hawai'i's multi-ethnic population. From this founding intention grew the museum of today, with a world-class encyclopedic collection of more than 55,000 works of art, representing a stunning breadth of places and eras, from all corners of the globe and from the ancient past to the present day.
Minimum Qualifications:
- Associate or bachelor's degree in business, non-profit management, marketing, or related field, or equivalent combination of experience and knowledge.
- 1 year of professional non-profit organization membership and/or fundraising experience.
- Rigorous attention to detail, excellent organizational abilities, and ability to manage multiple deadlines while working under time constraints and the needs of both donors and the Museum.
- Proactive and creative solution-seeker and decision maker who navigates and mediates between diverse teams of people.
- Ability to embrace innovative ideas while adhering to museum policies and keeping property and budget in mind.
- Previous experience with CRM (Constituent Relationship Management) donor database such as Tessitura for data entry, report generation, and fundraising analysis.
- Excellent interpersonal, written, and verbal skills.
- Ability to be inclusive and make donors, volunteers, and visitors feel that they are important to and welcome at the museum.
- Performs and completes all duties and responsibilities in a courteous and timely manner.
- Excellent computer skills, including Microsoft Office Suite.
- Ability to handle sensitive information confidentially and adhere to the fundraising code of ethics.
- Honesty, integrity, enthusiasm, perspective, and a strong work ethic supported by commitment and follow-through.
- Ability to work within and support a diverse community of visitors, artists, and employees.
Desired Qualifications:
- 2 or more years of professional non-profit organization membership and/or fundraising experience.
- 2 or more years of experience with creating positive interactions with donors, sponsors, partners, and stakeholders resulting in meeting and/or exceeding both fundraising and donor goals.
- Demonstrated experience with membership, prospect research, and fundraising.
- Experience working with a high volume of donors and volunteers.
- Understanding of Honolulu Museum of Art's established identity and dedication to advancing it.
Essential Duties:
- Works with the Stewardship Manager to coordinate donor stewardship strategies, event logistics, records management, departmental activities, and training to support the Advancement department.
- Coordinates daily donor acknowledgement communications, ensuring accurate and timely recognition of donors.
- Supports database record management, ensuring accurate tracking of donor information and engagement within the Museum's donor database.
- Generates and distributes routine fundraising reports from the Museum's donor database, ensuring accuracy and timely delivery to Advancement team members.
- Oversee pledge payment administration, including tracking pledge schedules, sending payment reminders, and coordinating timely acknowledgements.
- Coordinates tribute gift recognition, including gifts made in honor or memory of individuals.
- Monitors donor and prospect activity across platforms such as Google Alerts to help inform the team of engagement opportunities.
- Oversee donor acknowledgement and stewardship strategies while ensuring proper tracking of donor engagements in the museum donor database in partnership with the Advancement team.
- Works with the Stewardship Manager to coordinate departmental activities, team training on best practices, records management, and donor programs and events.
- Interfaces with museum trustees, advancement leadership, committees, donors and supporters.

Compensation:
HoMA is committed to practicing salary transparency. The pay range for this position is $23.00 per hour to $25.00 per hour with final compensation based on experience, education, market date, and internal equity.

Working Conditions and Atmosphere:
Work takes place in an office environment. General office hours are Monday through Friday, 8:00 a.m. to 5:00 p.m. with flexible scheduling as appropriate. Ability to operate general office equipment including computers, copiers, printers, etc. Ability to lift, carry, push, pull, up to 25 pounds of general office material or equipment. Ability to work some evening and weekend hours.
