Responsible for directing and supervising day-to-day operations of the court's clerical staff, the role requires a detail-oriented candidate with strong critical thinking skills and an ability to learn quickly. The right individual will be one who is able to thrive in a busy atmosphere that demands the ability to multi-task and work well within a structured team that ensures high quality work and excellent customer service in this high work volume, rural court.

Performs complex work providing advanced legal clerical level support to the Court system and the public. Responsible for planning, directing, and supervising staff and activities related to the day to day operations of the clerks office. Demonstrating thorough understanding of, and coordinating, legal document preparation and processing through the Courts and/or other segments of the justice system; performs related tasks as apparent or assigned.

Compensation
Douglas County's compensation system is based on Pay for Performance wherein employees are eligible for annual performance evaluations. The current structure consists of merit increases up to 3% on a qualifying employee's anniversary and Cost of Living Adjustments based on the Consumer Price Index during the first pay period of each fiscal year. The COLA will be up to 5% depending on the CPI each year. Additionally, eligible employees can be recognized for outstanding performance, above and beyond the call of duty, and receive additional compensation through the Recognition of Excellence Program.

- Supervises assigned staff and directs the activities of assigned staff; coordinates, prioritizes and assigns tasks and projects; tracks and reviews work progress and activities; participates in the recruitment and selection of staff; undertakes disciplinary action as required; provides input on performance evaluations; coordinates scheduling of staff to ensure proper operational coverage.
- Assists in the development and implementation of court program policies and procedures, including the review and evaluation of organizational resources related to training, system development and maintenance, and court management technology.
- Under the direction of Court Administration, may provide backup to clerks by attending sessions of court to log information on court proceedings, including witnesses names, motions entered, verdicts and other important facts; entering such information on the court records, and preparing reports on court activity; drawing and swearing in jurors, and performing related case processing support functions.
- Reviews and evaluates organizational resources and provides analysis and recommendations for efficient usage of court resources.
- Participates in the development and maintenance of a variety of systems, processes and procedures related to court activities; maintains manuals/workbooks and updates resource materials; reviews and analyzes priorities within a functional area and makes recommendations to the Assistant Court Administrator.
- Receives and examines documents for sufficiency, completeness, conformity, jurisdiction and/or validity before acceptance for action by the Court; certifies or files documents, opens court cases in the case management system, and prepares document files; files a variety of legal documents and related case materials, searches for missing files, and copies materials requested from files and sends to requesting individual/agencies; follows procedures for updating, scanning and/or purging files and prepares case records and files.
- Assists public either on the phone or over the counter in the use of court forms, document filing procedures and other such matters requiring the application of technical/judicial procedures and practices; receives and completes orders for services/materials from public or employees; evaluates need for service and directs individuals/calls to appropriate office; assists individuals in locating material/information; explains fees and fines.
- Files case documents and makes file notations or rules/procedures/codes on specific questions, which may require understanding or explanation of legal documents and/or legal/court procedures regarding case/processing and status; makes copies of files as requested and in accordance with department policy. Moves case files to records management and maintains file management system.
- Draws jury trials, summons jurors, and coordinates with courtroom staff on the need for and dismissal of jurors; responds to juror inquiries and requests to be excused from serve processes juror service payments; process orders to show cause.
- Receives, computes, classifies and posts fees and/or fines for traffic citations, small claims, evictions, alternative sentencing, criminal and civil cases, probate, juvenile, adoption, paternity, child support and divorce cases; issues receipts, prepares bank deposits, and verifies all for end of day processing ; researches account records for discrepancies; computes fines, fees and amount of bail while complying with Nevada Revised Statutes; compiles routine statistical data to provide input to work production reports or official statistical reports.
- Files motions, orders, complaints and judgments for all cases; issues warrants, writs, orders, subpoenas, abstracts and other official documents on behalf of the Court; recalls warrants and exonerates bail; prepares minute orders, judgment orders, Pre-Sentence Investigation referrals, bond forfeiture letters, notices and dismissals or seals cases in accordance with established codes and court procedures. Works with the Senior Deputy Court Clerk to ensure appeals, peremptory challenges, remittiturs, changes of venue, notices, bind-overs and all statutory required clerk duties are completed according to statute.
- Applies a thorough knowledge of procedures and applicable operations contained in the Douglas County Code, Nevada Rules of Civil Procedure and the Nevada Revised Statutes. Court Operations Specialists are responsible for maintaining the physical space of the courts as well as performing minor planned maintenance and care of the equipment operated by the clerks.
- Trains employees in use of, best practices for, and updates to all court systems.
- Schedules and coordinates work for the court. Assists the court and clerks with correspondence, schedules, legislative updates, statutes and Douglas County Code. Maintains accurate and current information with regards to all Local, State and Federal laws.
- Assumes responsibility for the quality, accuracy, and timeliness of work duties. Provides guidance, assistance, or mentorship to coworkers, volunteers, or interns. This may include scheduling assignments directed by the Assistant Court Administrator, instructing work methods, and reviewing work products for other staff. Completes evaluations, scheduling, documentation and discipline with the assistance of the Assistant Court Administrator when requested.
- Maintains relationships with external agencies and internal departments; acts as a liaison between clerk's office and equipment and software providers. Works with Court Administration and the Judicial Fiscal Management Analyst on all fiscal and maintenance duties to ensure department integrity.
- Monitors and analyzes management reports to identify trends that may impact caseloads; communicates with the Assistant Court Administrator regarding findings.
- Works with the Assistant Court Administrator to insure the accurate and timely reporting of dispositions, USJR statistics, Supreme Court requests and Legislative requirements.
- Assures compliance with Minimum Accounting Standards (MAS) and assists Sr. Deputy Court Clerk and Administration with adjustments, voids, balancing and accounting procedures. Provides support and assistance with accounting when requested.
- Monitors the trust accounts and complies with the Nevada Revised Statutes regarding Marcy's Law and the posting and returning of bail, bonds, and jury fees.
- Monitors Probable Cause reports and keeps Administration/Security and/or Judge updated on daily events.
- Assists, educates and trains staff on Coroner's Inquest hearings, trials, law and motion, orders to show cause, reviews, and other hearings.
- Works with Administration and Court I.T. manager to coordinate and maintain all office equipment.
- Maintains evidence locker, prepares orders for return/destruction of exhibits/evidence pursuant to the Supreme Courts Evidence Protocol. Works with the Sr. Deputy Court Clerk to train staff and maintain files pursuant to "Left Side Filing" protocols, Personal Information Redaction and proper filing methods pursuant to Court Administrator Standards, Douglas County Code, Nevada Revised Statutes and Supreme Court Protocols.
- May assist the Assistant Court Administrator in the hiring process, including but not limited to, reviewing applications, sitting on interview panels and processing new hire paperwork when requested.
- Contributes to the efficiency and effectiveness of the unit's service to its customers by offering suggestions and directing or participating as an active member of a team.
- Performs duties in accordance with the Code of Conduct for Court Professionals and established ethical standards.
- Attends meetings and trainings as required.
- Represents the Court and County with dignity, integrity, and a spirit of cooperation in all relationships with customers to include the public.

- Bachelor's Degree with college coursework in business administration, criminal justice or a related field and four (4) years' experience as a Deputy Court Clerk Senior; or an equivalent combination of education, training and experience.
