Position Summary

We are seeking a detail-oriented and organized Accounts Receivable & Collections Coordinator to support the financial operations of our construction company. This role is responsible for maintaining accurate collections records, assisting with billing and payment tracking, managing customer collections, and ensuring invoices and change orders are properly reflected in monthly billing documentation.

Key Responsibilities

• Maintain and update collections spreadsheets and logs to ensure accurate tracking of outstanding balances and payments received.

• Review monthly AIA billings against approved change orders to verify all billable work is included.

• Process daily check deposits, including scanning, saving electronic copies to company records, and updating collections logs.

• Perform daily collections follow-up with customers regarding outstanding invoices and overdue payments.

• Prepare and issue accounts receivable invoices (non-AIA billing).

• Follow up on unpaid invoices and work directly with customers to secure payment.

• Maintain organized electronic records of payments, invoices, and supporting documentation.

• Assist with additional accounting and administrative tasks as needed.

Qualifications

• Bachelor’s degree in accounting required.

• Previous experience in accounts receivable, collections, or construction accounting preferred.

• Strong knowledge of AIA billing and construction industry processes preferred.

• Advanced Microsoft Excel skills required, including the ability to manage spreadsheets, formulas, reporting, and data tracking efficiently.

• Strong attention to detail and organizational skills.

• Ability to communicate professionally with customers regarding collections and payment follow-up.

• Ability to manage multiple tasks and meet deadlines in a fast-paced environment.
