Job Title Marketing Representative Department Property Management Reports To Community Director and/or Marketing Manager (if applicable) FLSA Status Non-Exempt Position Summary The Marketing Representative coordinates the community’s marketing, leasing, and renewal strategies to achieve occupancy, revenue, and resident retention goals by performing all activities related to leasing new residents, providing resident satisfaction throughout the lease term, and securing lease renewals. Organizational Responsibilities Journey Visionary: Work with on‑site team members to prioritize solutions and provide frameworks that will drive journey metrics Passion & Innovation: Deeply understand issues and opportunities and demonstrate relentless focus on solving them through innovative solutions Organizational Ambassador: Engage with residents, prospective residents, associates, and stakeholders to understand needs and lead with the values of the company culture Project Management: Create and maintain clear and sequenced plans to successfully launch projects Change Management: Lead cross‑functional teams through change programs and projects, harness frameworks and influence modeling to drive awareness and outcomes Community Service: Participate in activities outside the normal course of daily business that will enhance both the Company and your stature in the marketplace, including participation in industry related associations and groups to further your own development and the business goals of the company Essential Duties and Responsibilities Perform all sales and leasing activities in person to achieve revenue and occupancy goals: greet and qualify prospects, conduct property tours, process applications, credit screening, background checks, prepare lease and move‑in packages, and ensure smooth resident move‑in and lease signing. Inspect apartments before move‑in and schedule any outstanding items with maintenance. Stay informed about market and competitor conditions, develop and implement short‑ and long‑term marketing plans, and follow property policies for concessions and specials. Design and execute off‑site marketing activities: resident referrals, employer outreach, internet marketing tools (Facebook, Instagram, e‑mail, other websites) and property‑specific programs. Use the on‑site property management software (Yardi, etc.) to track availability, record traffic and leasing activities, manage resident and prospect data, and capture critical demographic information. Ensure show units meet company standards: daily inspect marketing corridor and leasing tour, communicate maintenance needs, merchandise and keep units appealing, and prepare leasing office for daily activities. Follow‑up with prospects and new residents to ensure satisfaction: send e‑mail, thank‑you notes, cards, or make telephone calls. Execute lease renewal program: prepare and deliver renewal letters and packages, meet with renewing residents before move‑out, ensure renewal documents are signed on time. Respond quickly and courteously to resident/owner concerns and questions, solve problems, and convey requests to appropriate individuals. Complete various accounting, financial, administrative reports and other duties as assigned. Meet attendance and punctuality expectations and physical demands per Gallery Residential’s policies. Work Hours This position is scheduled for 40 hours per week. Typical hours: Monday–Friday 9:00 am–6:00 pm, Saturday 10:00 am–5:00 pm, Sunday 1:00 pm–5:00 pm. Marketing representatives must be available for weekend work when scheduled. Qualifications High school diploma or GED equivalent required. Proven sales, marketing, internet, and customer service background sufficient to resolve customer complaints and issues and complete financial records, documents, and reports. Ability to read, write, and communicate effectively to comprehend and complete legal documents, sell apartment features, and answer questions. Mathematical skills: add, subtract, multiply, divide, handle decimals and fractions, calculate percentages for financial records, budgets, and fiscal reporting. Reasoning: apply sales skills, generate leads, conduct presentations, qualify prospects, close sales; use common sense to follow instructions and solve problems in standardized situations. Computer proficiency: word processing, property management applications (preferably Yardi), spreadsheets, internet research and marketing, use of Google and other search engines, and navigating websites. Industry certifications appreciated. Current valid driver's license required. Supervisory Responsibilities This job has no supervisory responsibilities. Work Environment and Physical Demands The role requires standing, walking, reaching with hands and arms, climbing, stooping, squatting, intermittent sitting. Must be able to access all areas of the property and its amenities, operate golf carts, walk extended distances, and navigate stairs to multiple levels daily. Employees must be able to push, pull, lift, carry, or maneuver weights up to 20 pounds independently and 50 pounds with assistance. Vision: close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.
