Clinic Manager

Dragon Rises College is seeking a highly organized, proactive, and personable Clinic Manager to oversee the day-to-day operations of our student acupuncture clinic in Bradenton, Florida. The ideal candidate keeps things organized, communicates exceptionally well, manages multiple priorities at once, and naturally looks for ways to improve operations. This person will be responsible for ensuring that the clinic runs efficiently and professionally while supporting patients, students, faculty, and College administration. This is a hands-on position that requires someone comfortable taking ownership, staying ahead of deadlines and operational needs, solving problems, and creating systems that help the clinic run smoothly. The successful candidate will have a minimum of one year of clinic management or healthcare office management experience and demonstrate strong leadership, communication, organization, and multitasking skills. Key Responsibilities:Clinic Operations & Administration Provide daily management and oversight of Student Clinic operations. Ensure the clinic operates in an organized, professional, efficient, and patient-centered manner. Serve as the primary operational point of contact for clinic staff, student interns, and patients. Work closely with the Clinic Director and Clinic Supervisors to address operational, patient-care, and student-related issues. Identify operational challenges and recommend solutions to improve clinic efficiency and patient experience. Participate in developing and implementing clinic procedures, workflows, and standards. Keep the clinic organized, prepared, and adequately supplied. Coordinate purchasing, inventory, vendors, equipment, and facility needs. Maintain calendars, schedules, deadlines, and other operational information. Manage and monitor patient scheduling to maximize clinic utilization and student learning opportunities. Assist with patient intake, appointment coordination, cancellations, and rescheduling as needed. Monitor patient flow and identify opportunities to improve the patient experience. Respond professionally to patient questions, concerns, and service issues. Assist in developing strategies to attract new patients and encourage patient retention. Support community outreach, promotional activities, events, and other initiatives designed to increase clinic visibility and patient volume. Monitor and provide regular reporting on appointment utilization, patient volume, and other relevant clinic performance indicators. Student Clinic Coordination & Tracking Accurately track student clinic participation and clinical hours. Maintain accurate records of student on-site and approved off-site clinic hours. Provide regular student clinic hour reports to appropriate College leadership. Monitor student clinic participation and identify discrepancies or missing documentation. Work with students and Clinic Supervisors to resolve clinic-hour tracking issues. Assist with maintaining documentation necessary to demonstrate student clinical experience and completion of requirements. Track and report patient visits, new patients, returning patients, cancellations, appointment utilization, patient feedback, customer acquisition, and other key clinic metrics. Compliance & Quality Assurance Maintain patient confidentiality and support compliance with HIPAA and applicable privacy requirements. Ensure clinic operations follow applicable local, state, and federal requirements. Follow and help enforce Dragon Rises College policies and procedures related to clinic operations, patient care, safety, and student conduct. Monitor cleanliness, sanitation, infection control, and general safety standards throughout the clinic. Assist with the development, review, and implementation of clinic policies and procedures. Participate in quality improvement initiatives designed to strengthen patient care and student clinical education. Inventory & Facilities Management Manage inventory of acupuncture supplies, herbs, linens, office supplies, and other clinic materials. Monitor supply levels and ensure necessary materials are available for scheduled clinic operations. Maintain organized storage of clinical supplies and equipment. Coordinate with facilities personnel and outside vendors regarding maintenance, repairs, equipment servicing, and facility improvements. Ensure treatment rooms and common areas are properly prepared and maintained. Monitor clinic equipment and report repair or replacement needs to administration. Assist the College in developing strategies to increase patient volume and community awareness of the Student Clinic. Participate in community events, health fairs, outreach activities, and other promotional opportunities as appropriate. Help develop relationships with community organizations and referral sources. Work with the College's marketing team to promote clinic services, events, and special programs. Identify opportunities to improve patient retention and strengthen the clinic's reputation within the community. Support special clinic initiatives, promotions, and new service offerings. Monitor clinic-related expenditures and assist with maintaining operations within the approved clinic budget. Assist with reviewing vendor invoices and purchasing documentation. Monitor clinic revenue and activity as directed by College administration. Identify opportunities to improve clinic efficiency and financial sustainability. Maintain accurate administrative records related to clinic operations and up-to-date budget reports. Assist with annual planning, budgeting, and operational projections for the clinic. Additional Responsibilities Participate in regular clinic leadership and administrative meetings, and professional development activities. Provide constructive feedback to administration regarding clinic operations and student needs. Promote a respectful, professional, collaborative workplace and learning environment. Maintain professional knowledge of clinic operations, healthcare privacy requirements, and applicable regulatory standards. Maintain confidentiality regarding student, patient, personnel, and institutional information. Perform other duties and special projects as assigned by the Clinic Director or College administration. QualificationsRequired Minimum of one (1) year of clinic management, healthcare office management, or similar healthcare operations experience. Exceptional organizational and time-management skills. Excellent written and verbal communication skills. Ability to manage multiple responsibilities and priorities independently. Strong attention to detail and accuracy in recordkeeping. Demonstrated ability to work effectively with students, patients, faculty, and staff. Proficiency with standard office technology, electronic health records (EHR) systems, inventory management, scheduling systems, Google Workspace, and Microsoft Office or comparable software. Ability to maintain confidentiality and exercise sound judgment. Commitment to professionalism, patient service, and student education. Preferred Associate's or bachelor's degree in healthcare administration, business administration, or a related field. Experience working in a teaching clinic, student clinic, or educational environment. Experience with acupuncture, Oriental medicine, integrative medicine, complementary medicine, or wellness practices. Experience developing or improving clinic policies, procedures, or workflows. Working Conditions This position is primarily based in the Dragon Rises College Student Clinic in Bradenton, Florida. The position requires regular interaction with patients, student interns, faculty, staff, vendors, and members of the public. The Clinic Manager may occasionally be required to work outside the normal schedule for special events, community outreach activities, clinic needs, accreditation activities, or other College functions.
