It is designed for a high-performing individual who can manage the client experience and take ownership of key operational functions as the clinic grows. You are not just executing tasks — you are helping the clinic run. You protect the client experience AND help ensure the operation stays on track. Where This Role Fits The Case Manager builds the plan (clinical results) This role protects the plan AND supports the operation This role is the bridge between front desk execution and operational ownership This is not a full Office Manager role — but it is the first step toward one. What You Actually Do Client Experience & Retention (Primary Responsibility) Greet clients and manage check-in/check-out with professionalism and energy Ensure clients are scheduled correctly and stay consistent with their plans Follow up with missed appointments and maintain accountability Reinforce Case Manager recommendations and treatment plans Build strong relationships and maintain consistent communication Accountability & Communication Keep clients engaged, consistent, and supported Ensure nothing falls through the cracks — scheduling, communication, or follow-up Maintain accurate and timely documentation Operations Support (Secondary Responsibility) Support daily clinic operations and flow Assist in identifying scheduling inefficiencies or bottlenecks Help maintain organization of systems, supplies, and workflow Flag operational issues early and communicate proactively Step in to help solve problems when needed Light Team & Workflow Support Help maintain accountability to systems and standards Assist with coordinating schedules and daily flow Support leadership in keeping operations consistent and organized What Success Looks Like Clients show up consistently and stay on plan Scheduling is clean, accurate, and efficient The front of house runs smoothly and professionally Small operational issues are identified and solved early Nothing is missed, forgotten, or loosely executed Leadership is not pulled into daily operational problems Who This Role Is For Someone Who Wants To Grow Into Leadership.
