Job Description:

Working closely with the Director, this position is responsible for coordinating and verifying accuracy of curricular items as related to individual program files for each graduate major offered by the University of Florida. This position will collaborate with internal and external units including the provost’s office to ensure the accuracy of academic programs and courses listed as contributing to major credit and elective credit pools for each graduate program offered by the University of Florida. This includes the following: reviewing proposed updates for consistency, accuracy, and appropriateness; using knowledge of UF Graduate School policies and history to make recommendations for changes to the catalog information; verifying accuracy of curricular items, as related to individual program files for each graduate major offered by the University of Florida; creating/maintaining a coherent system of clear and accurate curriculum information; working with and collaborating between catalog management systems, software and databases of curriculum information.

Liaises with Provost’s office and the Office of Accreditation, Assessment, and Curriculum (OAAC) on academic approval system for new, modified, and closed graduate courses and programs. Reviews catalog updates with OAAC related to curriculum inventory and policy changes. Participates in technical review of graduate curriculum and academic program proposals in preparation for Graduate Curriculum Committee, Graduate Council, and UF Faculty Senate consideration.

Supports and maintains clear system for organization of all approved graduate courses, concentrations, certificates, minors, majors, and degrees, including faculty affiliations, departments, interdisciplinary programs and degree attributes. Collaborates with Graduate School and UF IT to support this effort. Supports the ongoing maintenance of degree information and attributes for graduate degree audits in university systems.

Coordinates internally in the Graduate School to ensure that all Academic Affairs systems (including web pages) are up to date with program approvals, curriculum changes and current catalog copy. Assists with maintaining system for cataloging and monitoring college and academic unit policies that vary from central graduate school (GRE requirement, physical presence and exams, graduate committee composition, etc.). Provides support for building and maintaining index of program policy manuals/handbooks across campus. Assists with reviewing and answering Salesforce inbox cases related to academic program information and graduate degree audits.

Consults with academic units as they consider new curriculum proposals and modifications. Answers questions, resolves issues, and offers guidance to units throughout the academic approval process, in alignment and collaboration with university and provost’s offices. Answers questions, resolves issues, and offers guidance to units relating to ongoing graduate student support and academic success.

Communicates and collaborates with UF personnel throughout all graduate departments at UF, including Graduate School staff, OUR, and external administration personnel regarding the use of catalog information, providing timely and accurate responses and services for their needs.

Develops and provides training for academic staff, Graduate Coordinators and faculty as related to Graduate Council policies, processes and systems required to support academic curriculum and program approval. Consults units on recommended academic content and best practices for graduate program policy manuals and handbooks.

Works with academic and administrative units, faculty, and staff, on a regular basis to carry out policy consistent with the Graduate Catalog, Graduate Council, and University of Florida regulations.

Plans and implements efficient curriculum and program proposal review operations within context of overall university academic affairs.

Represents the Graduate School on campus-wide system projects, as needed, such as the implementation and design of the new or revised curriculum and program approval systems, participating in ad hoc work groups with other institutional units as required for special projects.

Participates in strategic planning for overall Graduate School.

This position may assist other Graduate School functions during peak times for specific workflows. Performs other duties and special projects as assigned by the Director and Deans.  

Expected Salary:

$53,000 – $62,000

Required Qualifications:

Master’s degree and three years of relevant experience; or an equivalent combination of education and experience.

Preferred:

Thorough knowledge of State, University and Graduate School policies and procedures related to graduate programs. 

Knowledge of the graduate degree programs and policies for masters, engineer, specialist, and doctoral programs. Familiarity with curriculum and degree audit processes.
