Job Summary

A mission-driven organization in Jacksonville, FL is seeking an Operations Associate to provide high-quality administrative and operational support to executive leadership and internal teams. This temporary, full-time opportunity is ideal for a highly organized and proactive professional who enjoys managing details, coordinating priorities, and helping an office run efficiently.

The Operations Associate will play an important role in supporting calendars, meetings, communications, vendor coordination, and special projects. This is a great opportunity to gain valuable executive-level administrative experience in a collaborative, community-focused environment with supportive leadership and the potential for assignment extension.

Key Responsibilities

- Manage executive calendars, meetings, scheduling, travel arrangements, and follow-up items.
- Prepare agendas, correspondence, presentations, reports, and other executive materials.
- Coordinate Board and committee meetings, including scheduling, preparation, and administrative support.
- Support day-to-day office operations, administrative systems, vendor coordination, and internal processes.
- Assist with special projects, operational initiatives, and process improvements.
- Handle confidential information with professionalism, discretion, and attention to detail.

Compensation and Benefits

- Pay: $18.00 per hour.
- Schedule: Full-time, Monday through Friday.
- Position type: Temporary, 1-month assignment with potential to extend.
- Work arrangement: 100% onsite.
- Location: Jacksonville, FL 32202.
- Start date: ASAP.

Required Qualifications and Skills

- Provide administrative support to executive leadership and internal teams.
- Coordinate calendars, meetings, travel, agendas, and executive materials.
- Support Board and committee meeting preparation and follow-up.
- Assist with office operations, vendor coordination, and special projects.

- 1 or more years of experience in administrative support, executive assistance, operations, or a related role.
- Proficiency with Microsoft 365, Outlook, and Microsoft Teams.
- Strong written and verbal communication skills.
- Exceptional organizational, time-management, and follow-through skills.
- Excellent attention to detail and ability to manage competing priorities independently.
- Professional judgment and discretion when handling sensitive or confidential information.
- Proactive mindset with the ability to anticipate needs, take initiative, and improve processes.

Preferred Qualifications

- Experience supporting executive leadership, Board meetings, or committee coordination.
- Prior experience in a nonprofit, mission-driven, professional services, or office operations environment.
- Ability to adapt quickly in a temporary assignment and contribute immediately.
